We’re looking for a highly organized and adaptable Administrative Coordinator to provide essential support to our leadership team and plant associates. This role is a key connector across multiple departments, helping to solve problems, streamline processes, and keep daily operations running smoothly. Requirements

  • Strong Microsoft Office skills (Excel, Word, PowerPoint, Outlook).
  • 3–5 years of experience in an administrative or office management role.
  • High School Diploma or GED - Required
  • Bi-lingual in English and Spanish - Required
  • Proven ability to balance multiple priorities, manage projects, and meet deadlines.
  • Strong communication and problem-solving skills with a team-first mindset.

Responsibilities

  • Partner across Operations, HR, and Finance to provide administrative and analytical support.
  • Compile reports and track operational performance for leadership review.
  • Review and process AP invoices daily, ensuring accuracy and proper general ledger coding.
  • Manage Bill of Ladings (BOLs) post-shipment to ensure timely billing and documentation.
  • Provide audit support by preparing documentation and conducting research as needed.
  • Validate customer returns for accuracy in product quantities and SKUs.
  • Oversee office management , including supply purchasing, filing, and guest accommodations.
  • Coordinate meetings and events (plant activities, meals, team gatherings, etc.).
  • Serve as a liaison with IT to troubleshoot and resolve desktop support issues.
  • Maintain the Access Control System , including issuing and deactivating badges.
  • Support the Customer Service team with billing or invoicing discrepancies.
  • Provide occasional back-up support for HR, including new hire onboarding and employee inquiries.
