About The Position

As an Operations Associate within our real estate firm, you will play a crucial role in ensuring the smooth functioning of various operational aspects within the company. This role provides high-level administrative and strategic support to the Executive Vice President and the broader property management team. This position is responsible for ensuring smooth day-to-day operations, managing schedules, coordinating communications, organizing meetings and events, preparing reports, and handling confidential information with discretion. The ideal candidate is proactive, detail-oriented, professional, and capable of managing multiple priorities in a fast-paced, dynamic environment. Administrative Support Manage complex calendars, including scheduling meetings, appointments, and travel. Screen and prioritize incoming emails, calls, and correspondence. Prepare and edit presentations, memos, reports, and other documents. Coordinate domestic and international travel arrangements and itineraries. Submit expense reports and ensure timely reimbursement and record-keeping. Maintain a centralized system for tracking contract deadlines, renewals, and obligations related to property operations. Meeting & Event Coordination Organize and support internal and external meetings, including agendas, materials, logistics, and minutes. Support coordination of property management team meetings, leadership retreats, and training sessions. Project & Communication Support Act as a liaison between the EVP and internal/external stakeholders. Track project timelines, deliverables, and follow-ups for key initiatives. Assist in preparing internal reports and property performance summaries. Track key metrics related to property operations and financial performance across the portfolio, compiling regular reports and dashboards for executive review. Coordinate with Regional Vice Presidents to ensure timely submission of operational updates, occupancy/vacancy reports, maintenance KPIs, and budget variance summaries

Requirements

  • Bachelor’s degree preferred, or equivalent work experience.
  • 3+ years of experience supporting C-level or senior executives, preferably in real estate, property management, or a related industry.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools (e.g., Zoom, Teams, Slack).
  • Ability to anticipate needs, think critically, and offer solutions to problems.
  • Comfortable working independently and collaboratively.
  • Ability to work well under pressure and prioritize tasks effectively.
  • Detail-oriented with a high level of determination and work ethic.

Nice To Haves

  • Knowledge of property management terminology and operations is a plus.
