About The Position

The Order Room Operations Associate is responsible for aiding in driving departmental results for the ongoing support for various Trading Desks, Stifel Branch Offices and outside money managers. This position requires the ability to gain a sound understanding of order entry for executing stocks and options with an emphasis on accuracy and speed to ensure timely market executions. Manual billing of trades is also imperative such as alternative investments, step outs and allocations of block orders. With proper training, the associate must be able to navigate in the firm's back office system (Beta) along with other order management systems (OMSs) and ancillary systems such as DTCC. This position will require collaboration among team members, branch office personnel and Stifel clients to provide exceptional customer service under direct supervision while following established procedures.

Requirements

  • Strong organizational skills with the ability to follow up on open tasks.
  • Strong communication skills including phone contact handling and active listening.
  • Ability to multitask, prioritize and manage time effectively.
  • Ability to learn Stifel's applications, industry rules/regulations and Stifel policies that pertain to the department and Stifel's branches.
  • Basic knowledge of financial services applications, systems, terminology and procedures.
  • Ability to work collaboratively within a team and with other areas of the firm.
  • Uses basic judgement and can escalate problems to more senior peers or management.
  • Minimum Required: High School Diploma or equivalent
  • Minimum Required: 0-2 years of professional business related experience.
  • Microsoft Office Suite, especially Word, Outlook, and Excel.

Nice To Haves

  • Preferred: Bachelor's Degree.
  • Knowledge of Thomson One, Beta, Fidessa, APL and Vestmark is beneficial.

Responsibilities

  • Accurately provides phone support to facilitate order entry while adhering to departmental procedures and guidelines.
  • Proficiently provides support related to order entry or billing questions, understands procedures and able to research trading inquiries while acting as the company gatekeeper for Stifel information.
  • Identifies potential problems or issues and escalates to department leadership if necessary.
  • Develops effective communication skills within the department and Stifel Branch Personnel or other departments and outside money managers.
  • Provides timely updates on progression of job responsibilities to leadership.
  • Manages large amounts of incoming calls and keeps record of caller interactions in a high stress environment.
  • Provides the highest quality of customer service through written and verbal communications.
  • Maintains a positive, empathetic, and professional attitude toward callers at all times.
  • Processes allocations for block trades and validates that the facilitation inventories remain flat with no positions and/or money balances.
  • Learns and assist with Cancel & Rebills and other trade related corrections.
  • Daily reconciliation of equity ex-clearing and UIT trades using Excel spreadsheets; identify trade exceptions and resolves them before the market opens.
