About The Position

Operations Assistant - Guilford, CT Launch your career at American Cruise Lines! The Operations Assistant position is based in our home office located in the picturesque shoreline town of Guilford, CT. We operate ships all over the country and are looking for an Operations Assistant to provide administrative expertise to support our growing fleet of cruise ships in the Hotel & Engineering Departments. The Operations Assistant is involved in all aspects of business operations, including purchasing, logistics, reporting, writing, scheduling and analytics. Requirements

  • Bachelor's Degree in Business preferred.
  • Advanced-level proficiency and expert in Excel.
  • Advanced-level proficiency in Microsoft Office Suite and Adobe Acrobat electronic document production, filing, and analysis across Word-Excel-PowerPoint-Adobe.
  • Strong organization skills.
  • Strong organization, proof-reading, and communication skills.
  • Detail-oriented professional skills in multi-task execution and tracking.
  • Must be able to work onsite in Guilford, CT.

Nice To Haves

  • Bachelor's Degree in Business preferred.

Responsibilities

  • Generate and send annual, monthly & weekly reports.
  • Handle sensitive employee information with confidentiality.
  • Correspond with vendors and shipboard personnel.
  • Review and code invoices with accounts payable.
  • Write business letters.
  • Manage Hotel & Culinary shipboard management expense reports & submit for reimbursement.
  • Review upcoming cruise manifests for special requests.
  • Assist with creating spreadsheets in Excel.
  • Arrange & organize submitted material for fleetwide audits.
  • Coordinate with administrative teams in Hotel, Engineering, Marine, Talent Acquisition and Training Departments.
  • Handling sensitive employee information with confidentiality.
  • Flexibility to adapt to multiple projects with the ability to multi-task.
