About The Position

The Operations Assistant provides administrative support and backup coverage for dispatch, OS&D, rating, billing, and/or manifesting. This role is crucial for tracking outbound loads, updating systems, communicating delays, managing pickup schedules, distributing paperwork to drivers, receiving maintenance records, setting appointments for deliveries, and handling redelivery authority. The assistant will also provide general administrative support including data entry, typing, faxing, filing, processing, imaging, and tracing freight. They are expected to participate in team efforts, manifest inbound and outbound loads, file exception reports, assist with rates for returned shipments, and communicate with agents regarding freight issues. The role also involves monitoring administrative equipment and assisting other terminals with Roadrunner operations. Requirements

  • High school diploma or general education degree (GED); or one to three months’ related experience and/or training or equivalent combination of education and experience.
  • Relies on written and verbal communication.
  • Ability to read and comprehend simple instructions, short correspondence, and memos.
  • Ability to write simple correspondence.
  • Ability to effectively present information in one-on-one and small group situations to customers and other employees of the organization.
  • Communicates internally with terminal and corporate office staff, and externally with shippers, contractors, and customers.
  • Basic personal computer skills.
  • Typing, filing and ten key skills.
  • Ability to add and subtract two-digit numbers and to multiply and divide with 10’s and 100’s.
  • Ability to perform these operations using units of American money and weight measurements, volume, and distance.
  • Certified in Hazardous Materials Handing.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions in written, oral, diagram or schedule form.
  • Ability to prioritize tasks.
  • Ability to handle multiple tasks and projects simultaneously.

Nice To Haves

  • Knowledge of AS/400, Microsoft Office, and digital picture programs.

Responsibilities

  • Track outbound loads, update system, and communicate any delays by e-mail to service center manager, customer service, operations, Linehaul, sales, and management before 11am.
  • Checks pickup schedules for loads that have not left facility by 10 am, determine the reasons and escalate to Linehaul.
  • Distribute IC paperwork or instructions to drivers (plates, IFTA, random DOT tests, etc.).
  • Receives maintenance records from drivers and submits to safety.
  • Sets appointments for direct deliveries/diverts when necessary.
  • Calls responsible party for redelivery/ACR authority and enters ACR into system.
  • Comply with all safety policies, practices, and procedures.
  • Provides administrative support such as data entry, typing, faxing, filing, processing, imaging, making appointments and tracing freight.
  • Participates in proactive team efforts to achieve departmental and company goals.
  • Presets appointments for linehaul contactors and inbound freight.
  • Manifest all agents/interline inbound bills and outbound linehaul loads.
  • Files exception reports from out-bound loads.
  • Work with broker in getting rates for returned shipments from non-service points.
  • Assist in tracing freight and communicating with agents when problems arise.
  • Monitors condition of printers and other administrative equipment in Operations.
  • Helps all terminals with all aspects of Roadrunner.
  • Other duties as assigned.
