About The Position

The Student Leadership and Engagement - Operations & Engagement Specialist (OES) oversees the daily operations of the Student Leadership and Engagement Office. Under the general supervision of the Director, the OES will lead all operations and administrative efforts for the Student Leadership and Engagement unit. The OES will be a point of contact for students, staff, and faculty seeking services from the unit. The OES will assist students, staff, and faculty with student engagement processes and procedures such as programming questions, student group and organization procedures, student travel processes, event registration, and budgetary paperwork. Finally, this position will hire, train, and supervise student employees offering support on behalf of the unit. The OES will also work under the supervision of the Director to assist with the planning, development, organization, coordination, and implementation of programs, services, operations, and activities that support the Student Leadership and Engagement unit and the Associated Students of Idaho State University (ASISU). Reporting Structure The OES reports to the Director of Student Leadership and Engagement. The Student Leadership and Engagement Office reports to the Office of the Dean of Students within the Division of Student Affairs. This position is not eligible for new visa sponsorship at this time. Candidates who already hold valid U.S. work authorization may be considered.

Requirements

  • Bachelor's Degree from an accredited institution, or a minimum of six years of combined education, training, and experience may be considered in lieu of a degree.
  • At least one year of experience working with college students or young adult populations, including experience in student services, advising, program coordination, or community-based work.
  • Strong organizational and communication skills required.
  • Ability to work independently in a student-centered environment, including working non-traditional hours (nights and weekends) for designated events.

Responsibilities

  • Administrative & Operations: Provide front-line office support, reception coverage, and customer service; manage supplies, purchasing, and service requests; maintain compliant electronic and physical records; update program websites and internal systems.
  • Student Engagement Systems: Review and process event proposals, room requests, club registrations, reimbursements, and compliance forms for accuracy and policy alignment; track and archive submissions; advise student leaders on requirements; maintain accurate digital records (authorized signers, memberships, workflows).
  • Programming & Event Support: Coordinate Bengal Theater operations (film selection, hiring, supplies, meetings); lead summer programming logistics (staffing, contracts, performers); support SAB and departmental events with scheduling, logistics, payments, travel documents, marketing coordination, and file management.
  • Student Employee Supervision: Oversee daily work of student staff (front desk, finance, design, posting); assist with recruitment, onboarding, training, scheduling, evaluations, and EPAFs; maintain employment documentation and conduct performance reviews.
  • Financial Administration: Process reimbursements, direct payments, travel, and cash receipts for student groups and programs; reconcile P-Card transactions, resolve discrepancies, and code expenses; complete journal entries and monitor platform financial workflows; prepare and route accurate fiscal documentation; track and report engagement metrics.
  • Marketing & Communications: Liaise with Student Affairs marketing; coordinate design requests and distribution; manage unit email, newsletters, club listservs, and calendar updates.
  • Workflow & Coordination: Manage office calendars and recurring tasks; set up trainings (rooms, tracking, reporting); onboard new clubs into systems.
