JLS Automation is currently accepting candidates for an Executive Operations and Engagement Specialist position for our headquarters in York, PA. The Executive Operations and Engagement Specialist will work with a leader in primary and secondary packaging machinery for the food manufacturing industry using cutting-edge robotics technology. Executive Operations and Engagement Specialist Job Objective Provides administrative support and coordination for the organization’s day-to-day operations, special events, employee activities, community networking and outreach, charitable contributions, and customer visits to provide a positive employee culture for JLS employees and a welcoming and professional JLS experience for all visitors. This is a full time, non-exempt position reporting to the Vice President of Human Resources.

Requirements

  • High School or GED diploma; Associate degree or higher preferred
  • 5+ years of experience in a senior administrative role or equivalent combination of education, training, and experience
  • Familiar with general office equipment and MS Office suite
  • Ability to effectively manage changing priorities
  • Strong interpersonal skills and customer service focus
  • Strong listening, verbal, and written communication skills
  • Demonstrated ability to respond to stressful situations in a patient, friendly, and timely manner
  • Effective time management skills with the ability to multi-task and manage projects to timely completion
  • Ability to travel up to 20%
  • Valid driver’s license
  • Must be able to work in the US without sponsorship

Responsibilities

  • Provides executive level administrative support to JLS leadership team; may be responsible for travel coordination, on-site and off-site meetings, event planning and preparation, and other executive administrative responsibilities as required.
  • Provides administrative support as required to other JLS functions, i.e. finance.
  • Provides back-up support to front desk activities to provide an outstanding experience to JLS visitors; answering primary JLS phone extension and re-routing calls as appropriate.
  • Leads Employee Activities Team; manages coordination for company events, meeting activities, and employee activities such as monthly luncheons, holiday activities, employee dinners, special activities, and speaking engagements; prepares annual budget and maintains budgetary tracking for employee activities and company events.
  • Coordinates scheduling of services and vendors related to employee activities; may assist with contract administration and review process as needed for services and ensures timeliness of services and set up for events.
  • Active participation and support of wellness team activities/events.
  • Responsible for ongoing employee recognition activities and communications, i.e. monthly employee recognition slideshow, employee birthday announcements, employee tenure milestone announcements, significant family news, etc.
  • Leads JLS Charitable Contribution Team, serves as community outreach coordinator to ensure positive connection and company involvement with York, PA community and area organizations.
  • Schedules on-site meetings for community resources and partners and manages JLS involvement with Give Local York.
  • In coordination and partnership with JLS Marketing Team, manages local promotional activities and communications to enhance the JLS reputation in the community and industry.
  • Supports JLS employee development through the management of current training material in the JLS Academy resource areas; partners with training content owners to maintain up to date training material and works with onboarding team to ensure appropriate training material is pushed to new hires.
  • Acts as Company liaison and coordinator for JLS participation with industry partners such as PMMI, Manufacturers’ Association, BEMA, and MANTEC.
  • Ensures that JLS fully leverages all available partner benefits and programs associated with those organizations, prepares submissions for training reimbursements and scholarships.
  • Will assist with the coordination of travel needs and event planning for recruiting, meetings, customer visits, tradeshows, and special events.
  • Serves as point of contact for the company’s travel services and vendors; may participate in contract administration in conjunction with HR and/or Finance leadership.
  • Builds rapport and interacts effectively with all levels of personnel within the company and with vendors and business partners outside of the company.
  • Demonstrates discretion and maintains confidentiality of information and data.
  • Will provide back-up duties in other HR areas and functions as needed.
  • Performs other duties as assigned to meet the goals and objectives of the department and organization.
