About The Position

RentalGuardian is seeking a highly driven and detail‑oriented Operations Analyst to support operational excellence across our insurance and technology ecosystem. This role combines analytical problem‑solving, systems integration support, project execution, and process design. The Operations Analyst will play a key role in improving policy issuance workflows—particularly within the INSTANDA platform for Damage and Travel programs—while driving scalable operational solutions for new and existing partners. Reporting directly to the Director of Operations, this role will support cross‑departmental initiatives, build standardized processes, and ensure smooth operational performance as RentalGuardian continues to expand.

Requirements

1–3 years of experience in operations analysis, product support, technical project coordination, or a related systems‑driven role.
Working knowledge of APIs, software integrations, and SaaS ecosystems.
Strong communication skills, with the ability to translate technical concepts into clear, actionable guidance.
Exceptional organizational and time‑management abilities; comfortable managing multiple priorities across teams.
Analytical mindset with an ability to troubleshoot, identify patterns, and propose scalable solutions.
Bachelor’s degree in relevant field

Nice To Haves

Experience with documentation tools, knowledge bases, SOP development, or process mapping is a plus.

Responsibilities

Integration & Systems Support
Develop and maintain standardized processes for integrating with Property Management Systems (PMS), including SOPs, branded training materials, and user‑friendly implementation guides.
Own technical onboarding workflows for PMS partners by managing communications, encouraging full API adoption, and serving as the central liaison between Inhabit Development, PMS development teams, and internal stakeholders.
Maintain and continuously enhance an internal knowledge base outlining functionality, parameters, and troubleshooting paths for all current integrations.
Manage and monitor test accounts, including setup, validation, and appropriate parent/child PAM relationships for structured access control.
Partner with Product Manager by handling integration‑related escalations, API break/fix issues, and software concerns, ensuring timely resolution and clear communication.
Operational Analysis & Project Support
Support operational projects related to improving policy issuance through INSTANDA for Damage and Travel insurance programs—identifying bottlenecks, documenting requirements, validating expected outcomes, and coordinating cross‑department deliverables.
Assist in creating scalable operational solutions for onboarding new partners and expanding existing programs, ensuring repeatability and efficiency.
Analyze API failure trends, collaborate with the Data Management Team to identify root causes, and support long‑term solution planning.
Partner with Data Management and Product teams to support development of internal tools and automation solutions that streamline operational workflows.
Process Documentation & Quality Support
Director of Operations to build, maintain, and refine standard operating procedures (SOPs) across operational processes, ensuring clarity, consistency, and cross‑team alignment.
Fine‑tune automated messaging in PAM to improve clarity, reduce support friction, and improve communication for property managers.
Implement proactive automation strategies that help property managers resolve coverage failures independently.
Cross‑Functional Collaboration
Partner with the Director of Operations to support organization‑wide initiatives, reporting, and process optimization efforts.
Assist with product roadmap support and overflow tasks related to integrations, operational impacts, and system enhancements.
Collaborate across Insurance Operations, Compliance, Data Management, Product, and Partner Support to ensure seamless execution of initiatives.
