About The Position

Midtown is seeking a highly organized, proactive Operations Administrator to join our world-class team. This role supports the Vice President of Operations (VPO) and the broader Operations Team by serving as a central hub for communication, coordination, and execution across clubs and corporate partners. The Operations Administrator is a highly visible, trusted role that balances executive support, project coordination, and administrative excellence. The ideal candidate thrives in a fast-paced environment, manages multiple priorities with ease, and brings a calm, solutions-oriented approach to supporting operational leaders. You will report to our Vice President of Operations, and the team is based out of our HQ office in Chicago (3611 N. Kedzie Ave). This position is hybrid, with time split between remote work and in-office presence. Will involve some travel to our Midtown club locations as projects require. About the Role The Operations Administrator partners closely with the VPO, Operations Team, and Club General Managers to ensure initiatives, meetings, and communications move forward smoothly and on time. This role alleviates administrative burden, strengthens cross-functional coordination, and helps maintain operational rhythm and follow-through across the organization.

Requirements

  • Has 5+ years of relevant experience in operations, administrative support, project coordination, or executive support.
  • Demonstrates exceptional written and verbal communication skills.

Responsibilities

  • Serve as the primary point of contact for the Operations Team, prioritizing inquiries, meetings, and requests.
  • Provide daily coordination and administrative support for the VP of Operations; act as a delegate on designated tasks and initiatives.
  • Manage calendars, meetings, and events: schedule sessions, secure attendees, prepare materials, and ensure follow-through.
  • Draft correspondence and ensure clear, accurate, and timely distribution of information.
  • Handle sensitive and confidential information with discretion and professionalism.
  • Prepare weekly and monthly reports, dashboards, meeting notes, and action item trackers.
  • Participate in recurring meetings; manage agendas, capture decisions, and track follow-up actions.
  • Support communication cascades across the Operations Team and club leadership.
  • Track, organize, and monitor progress of operational initiatives across clubs and departments.
  • Support special projects assigned by the VPO, often cross-functional in nature.
  • Represent the Operations Team in tactical meetings and assist with communication rollout and follow-up.
  • Collaborate regularly with club leaders, corporate partners, and third-party vendors.
  • Prepare expense reports, process reimbursements, and support basic budget tracking.
  • Coordinate large-scale events, including logistics and cost comparisons.
  • Maintain organized, up-to-date documentation and shared resources.
  • Assist with vendor coordination, including credit applications and ongoing relationships.
  • Participate in Club P&L meetings by capturing action items and supporting follow-up.
