About The Position

The Operations Administrator is responsible for supporting daily operational workflows, documentation, reporting, and cross-functional coordination.  This role is ideal for someone who is organized, proactive, and comfortable managing multiple priorities in a fast-paced environment. A successful candidate for this position will be required to work in the office daily, which emphasizes the importance of in-person interactions and collaboration within the team.

Requirements

  • 2-5 years of experience in operations administration, office administration, or similar role.
  • Strong proficiency in Microsoft Office (Excel, Word, PowerPoint); Adobe Acrobat, and comfort and interest in learning new applications.
  • Excellent verbal and written communication skills, with strong time management and problem-solving ability.
  • Strong organizational skills, with the ability to organize, prioritize, and execute multiple tasks systematically under tight timelines.
  • Demonstrated ability to prioritize tasks based on important and urgency.
  • High attention to detail and ability to handle and maintain confidentiality of sensitive information and data.
  • Able to work independently with minimal supervision and frequent interruptions, while also performing effectively in a team-oriented, open-concept environment.
  • Able and willing to work flexible and extended hours to support a global workforce across multiple time zones.
  • Approachable, proactive, and persistent in follow-up, with strong initiative.

  • Bachelor’s degree preferred (business administration, operations, or related field).

Responsibilities

  • Coordinate day-to-day administrative and operational activities across teams.
  • Help generate and maintain data rooms and other products shared files.
  • Support ongoing due diligence processes by gathering documents, maintaining version-control logs, and assisting with supplement or amendment tracking.
  • Support internal workflow follow-up deadlines and project status across departments.
  • Help maintain internal process documents, templates, and operational procedures.
  • Schedule meetings, maintain calendars, and organize internal logistics.
  • Assist with onboarding/offboarding administrative process.
  • Support compliance checks, audits, and documentation readiness.
  • Support preparation of quarterly and ad hoc project and fund reporting by coordinating inputs, tracking updates, and ensuring timely completion.
  • Pull, compile, and organize project- and fund-level information to support capital markets reporting and updates.
  • Support Investor Relations by coordinating data, reports, and supporting materials for investor updates, presentations, and communications.
  • Help maintain organized, complete records aligned with policies for audits, regulatory checks, and internal governance
  • Perform other duties as assigned.
