About The Position

Singleton Schreiber, LLP is seeking an experienced, motivated, and detail-oriented Administrative Assistant to join our San Diego office. The ideal candidate is a quick learner who takes direction well but is also not afraid to seek clarification and ask questions when appropriate. This is a fully on-site role at our San Diego office. SALARY AND BENEFITS: $27.00- $29.00/hour Actual salaries will vary and will be based on various factors, such as location, skills, experience, and qualifications for the role.

Requirements

  • Ability to work on-site daily in the San Diego office.
  • Minimum of 2 years of experience in an administrative or assistant role (experience in a highly confidential environment preferred).
  • High proficiency in Adobe and Microsoft Office Suite, including Word, Excel, OneNote, Outlook, and PowerPoint.
  • Strong independent thinking and research skills.
  • Highly detail-oriented, organized, reliable, and a strong team player.
  • Ability to multitask and manage several time-sensitive projects under tight deadlines.
  • Excellent written and verbal communication skills.

Responsibilities

  • Serve as secondary support to an executive by assisting and reporting directly to their executive assistant.
  • Prepare attorney bar applications.
  • Assist with drafting forms for attorney state bar and federal court admissions.
  • Provide support to employees utilizing Egencia for work-related travel.
  • Collaborate with the Executive Assistant team and Marketing team on event coordination.
  • Review and edit expense reports.
  • Process mail and billing items.
  • Submit mail requests.
  • Scan and process outgoing mail.
  • Attend meetings and take minutes.
  • Provide backup support to C-level staff as needed.
  • Perform additional duties and responsibilities as assigned.
