Requirements

  • Minimum of two (2) year in Homeowner Association (HOA) Management (portfolio or onsite management team) experience required
  • Active LCAM for the state of FL is required.
  • Strong interpersonal, supervisory and customer service skills are required.
  • Able to set priorities, plan, organize, and delegate effectively.
  • Strong written and verbal communication skills.
  • Must have command of the English language both written and verbal.
  • Ability to work effectively under time constraints and deadlines.
  • Ability to read, understand, and explain financial statements including balance sheets, income statements and general ledger.

Nice To Haves

  • Associate’s degree in business or a field related is preferred.

Responsibilities

  • Supervise concierge team and ensure coverage for call outs, additional coverage or open roles.
  • Receives and responds to incoming calls from homeowners, board members and vendors that the concierge team escalates to the ACAM, and follow through on various requests, while maintaining records of those interactions in CiraNet.
  • Prepares and assists General Manager with monthly board meeting notice distribution, agenda creation and board package material preparation.
  • Attend board meetings and annual membership meetings to assist the general manager in meeting facilitation, Zoom call set up, managing the meeting chat, note follow up tasks and projects from the meeting discussion and record meeting minutes.
  • Produce and track letters based on the site inspections for homeowner violations of association rules.
  • Maintain violation log, both active and resolved.
  • Track expiration dates on all vendor contracts and solicit bids for renewal, renew the agreements with current vendors if requested and/or assist the bid packet preparation.
  • Ensure that all agreements are fully executed and documented in CiraNet.
  • Review and code accounts payable queue daily.
  • Prepare and fulfill the New Board Member Packet(s) within two (2) working days of the annual members meeting.
  • Maintain and update the corporate records in accordance with association operation, governing document requirements and company expectations for CiraNet document updates.
  • Manage the volunteer process and maintain a data file of volunteers for each committee and manage committee requests.
  • Assist the general manager with researching resident requests, document request for DVPR records requests, securing locations and dates for meetings.
  • Proofread all community correspondence and distribute resident communications.
  • Other work-related tasks as needed.
