The Facilities Manager coordinates vendor relationships, maintenance, repairs and invoice review for a Velera Facility. This role works at a high degree of efficiency and timeliness in responding to and resolving general building equipment maintenance issues and business continuity efforts. This position will administer security access badges and keys for site, ensuring accurate and timely documentation/reports. The Facilities Manager will work closely with the Manager, Enterprise Facilities Operations on tasks including space planning, furniture design, workstation relocation, building cleanliness, purchasing of office/building supplies, stocking, building safety, and a wide range of facility support requests. This position also assists in identifying cost savings via building and staff efficiencies, and works on special projects, including researching, evaluating and presenting recommendations. Day in the Life: Coordinate vendor services to ensure building maintenance and repairs, including building automation systems (HVAC, fire/life safety, electrical power systems, lighting controls, etc.), equipment (building, office), and repairs (furniture, door hardware, etc.) are resolved in a timely manner. Build strong relationships with internal and external stakeholders through first-class service, attention to detail and proactive communications. Build strong relationship with vendors, coordinate scheduling of work, and ensure work is performed to contract within Velera standards. Administer security access badges, keys. Oversee daily security operations, which include but not limited to, reviewing/responding to incident reports, daily transaction history, building access system, alarms, and security equipment/system repairs. Ensure contract deadlines due not expire and review all invoices for accuracy and timeliness of payment. Assist the Site Manager with contracts negotiations and budgeting. Provide proactive and routine building maintenance to reduce downtime, and breakage. Maintain CAD drawings and logistics for site(s). all while ensuring adherence to safety, building standards, and ergonomic requirements. Assist Manager, Enterprise Facilities Operations in development and implementation of support of business continuity readiness. Develop and organize preventative maintenance and compliance programs. Serve as primary in the distribution of Facilities helpdesk support requests while meeting or exceeding departmental SLA’s. Assist Manager, Enterprise Facilities Operations with space planning needs; to include furniture design options for changing environment, vendor quotes, placing orders, workstation modifications, installations, and repairs. Coordinate the department’s monthly reports to ensure they are accurate and provided in a timely manner. Develop and maintain current desktop procedure for respective job duties. Crossed trained in the other Workplace Services functions as back-up and support of function. Collaborate with departments to ensure high-level of support to meet customer needs. Responsible for reporting risks that are identified to the appropriate team and/or management. Additionally, responsible for managing, monitoring and reporting risks within the scope of your work area, to include, but not limited to Information Security risks. Requirements

  • AA degree desired and/or High School Diploma or General Education Degree (GED).
  • Compliance knowledge (ADA, AQMD, FEMA, etc.)
  • 3-5 years’ experience in related field.
  • Vendor oversight experience.
  • Valid State driver’s license, with current/active auto insurance and good driving record.
  • Thorough understanding of building systems (i.e. automated HVAC, lighting controls, electrical power, fire/life, etc.) and general office equipment (i.e. copiers, fax machines, printers, etc.) maintenance.
  • Thorough understanding of preventative maintenance system principles, building repairs, and cleaning/janitorial practices.
  • PC knowledge and the use of standard software packages, such as Microsoft Word, Excel, Visio, and PowerPoint, as well as other facility type programs (i.e. HEAT, CAD, etc.).

Nice To Haves

  • Membership/certification in Facilities Management and related Associations preferred.
