The incumbent is responsible for coordinating services for oncology patients, including scheduling, financial and program enrollment, and ensuring communication process is complete for patients and referring physicians who refer to the Infusion Suite and practice in the Hematology/Oncology clinic. Incumbent answers and triages calls to the Infusion Suite and Hematology/Oncology clinic. Incumbent will process all orders placed in the EPIC system for MEDONC patients. Authorizations for same day/next day procedures will be secured by the incumbent. Reviews all HIS accounts to make sure that there is a financial note from the Infusion Suite. Completes online MSP for all Medicare patients on each month's account. Authorizations must be in place in the pre-certification screens and also in the account notes. Incumbent will re-verify all HIS account notes and Medicaids at the beginning and end of each month. Accepts and processes incoming referrals to the Infusion Suite for return and new patients from Hematology/Oncology clinic providers, clinical trials staff, and off-service providers such as the Transplant Unit, Neurology, Rheumatology, etc. Upon receipt of Infusion Suite referral, the incumbent must verify that all documentation is in place, signed, timed and dated orders, consents, etc. Incumbent must complete all medical necessity checks on all Infusion Suite referrals (Caremedic or Code Correct) and financial checks must be completed as well. The incumbent would notify the Shands Infusion Pharmacy and Shands Social Workers on all charity, medical needy referrals, or new drug referrals. Incumbent will coordinate Radiation Oncology appointments with RadOnc staff when patients are receiving therapies in RadOnc and the Infusion Suite. Incumbent is responsible for securing authorizations or medical necessity coding issues. Incumbent is responsible for enrolling patients in drug company programs, such as the Tysabri One Touch Program. Incumbent verifies that provider who orders said drug is also enrolled in drug company programs. Incumbent is responsible for assembling new patient charts and assisting with eliminating any treatment delays by working closely with the provider and clinic RN. Incumbent is responsible for scheduling the Infusion Suite and clinic appointment. Incumbent will coordinate Home Health nursing if necessary. Incumbent is responsible for verifying insurance coverage and benefits, obtaining prior authorizations, preparing, communicating and explaining estimates for multiple services prior to service, identifying and collecting prepayments, in-depth financial counseling and establishment of payment plans. Incumbent will obtain sponsorship for uninsured, update demographic and financial data for UF Health and Shands Health system. Independently maintain scheduling policies, effectively manage utilization of Infusion Center chemotherapy administration chairs to maximize charges, prioritize incoming infusion cases, and coordinate multiple special needs for each patient's infusion experience to ensure successful outcomes. Participates as the key communicator in the planning, scheduling, communication and educating process between the physician, patient, nurse, and payor to produce a flawless process. May be required to float to other clinics, as needed, for staffing.
