About The Position

The Investment Operations Onboarding Specialist is responsible for managing the end-to-end onboarding process for vendors, partners, and other key stakeholders. This role ensures all necessary documentation, compliance checks, and legal requirements are completed efficiently while maintaining accurate records and fostering seamless collaboration between internal and external teams.

Requirements

  • Bachelor’s degree in Finance, Business Administration, or a related field.
  • 3+ years of experience in investment operations, vendor management, compliance, or a similar role.
  • Strong understanding of legal entities, compliance requirements, and financial services onboarding procedures.
  • Excellent organizational skills with strong attention to detail.
  • Effective communication and stakeholder management abilities.
  • Proficiency in workflow tools, document management systems, and compliance tracking platforms.

Responsibilities

  • Complete vendor and partnership onboarding paperwork, ensuring compliance with internal policies and regulatory requirements.
  • Oversee Due Diligence Questionnaires (DDQs) and Know Your Customer (KYC) refreshes for existing partners.
  • Perform onboarding documentation and DDQ’s for specialized initiatives, including redomiciling current businesses, new vendors, and new business lines.
  • Standardize onboarding process documentation to improve efficiency and consistency.
  • Coordinate account openings and closings as needed.
  • Track, organize, and maintain legal documents, NDAs, and vendor agreements.
  • Ensure all onboarding procedures align with compliance and regulatory requirements.
  • Monitor vendor policy updates, re-certifications, and industry compliance standards.
  • Serve as a liaison between legal, sales, and investment teams to facilitate smooth onboarding and compliance processes.
  • Act as a key point of contact between internal and external stakeholders, ensuring timely status updates on onboarding processes.
  • Maintain an up-to-date vendor database, including contact details and authorization workflows.
  • Oversee the signature authorization process, ensuring adherence to internal controls.
  • Provide regular reporting on onboarding progress and vendor pipeline updates to leadership.
