About The Position

We are seeking a dedicated Onboarding Coordinator to optimize our Applicant Tracking System (ATS) and Human Resource Information System (HRIS). This role involves ensuring the accuracy of organizational structures, compensation details, employee data, and workflow updates. The coordinator will manage the onboarding processes to provide a seamless transition from candidate to employee, while ensuring compliance with all required documentation.

Requirements

  • Hands-on experience managing HRIS and ATS platforms such as Workday, ADP, UKG, BambooHR, Greenhouse, and iCIMS.
  • Strong data accuracy skills, including knowledge of organizational structures, compensation, employee records, and workflows.
  • Experience supporting system updates, enhancements, and implementations.
  • End-to-end new hire onboarding experience, including payroll system coordination and data entry.
  • Deep familiarity with I-9 processing and reverification.
  • Experience managing employment agreements and financial onboarding documents.
  • Strong background in HR operations support and the ability to maintain organizational charts, staff rosters, SOPs, and reference materials.
  • Proven ability to spot inefficiencies and streamline workflows.
  • Experience creating HR reports, dashboards, and compliance summaries.
  • Advanced skills in Excel and Google Sheets, including VLOOKUP/XLOOKUP, pivots, and formulas.

Nice To Haves

  • Bachelor's degree or relevant internships in HR or a related field.
  • 1-4 years of experience in HR operations, open to entry-level candidates with a relevant degree.
  • Extremely detail-oriented with high data accuracy standards.
  • Comfortable managing sensitive and confidential employee information.
  • Experience managing an HR shared inbox.
  • Strong written and verbal communication skills.
  • Ability to work across HR, payroll, finance, recruiting, and with vendors.
  • Experience coordinating relocation processes, reimbursements, and documentation.

Responsibilities

  • Coordinate and manage all new hire data entry and onboarding processes within HRIS and payroll systems.
  • Ensure full compliance with required documentation, including I-9 forms, employment agreements, and financial onboarding paperwork.
  • Manage candidate relocation processes, including handling requests, documentation, reimbursements, and coordination with internal teams.
  • Process invoices and payments for contractors, interns, and HR-related vendors.
  • Maintain accurate and up-to-date HR documentation such as organizational charts, staff rosters, and departmental reference materials.
  • Prepare and deliver regular HR operational reports, dashboards, and compliance summaries.
  • Serve as the first point of contact for the HR shared inbox, addressing employee inquiries and directing them to the appropriate HR team member.
  • Generate and provide employment verification letters and related documentation upon request.
  • Identify opportunities to streamline HR workflows and improve data integrity.
  • Assist with evaluating and implementing HR technology enhancements and system upgrades.
  • Develop and maintain Standard Operating Procedures (SOPs) for HR processes.
  • Support internal and external audits by preparing required HR documentation and ensuring data accuracy.
  • Monitor compliance deadlines and coordinate timely follow-up.
  • Support HR projects and initiatives as business needs evolve.
