About The Position

The Onboarding Accounting Manager oversees and manages the full accounting onboarding process for newly acquired or transitioning homeowner associations. This role ensures that each HOA community is set up accurately in the company’s financial systems, that governing documents are translated into clear financial processes, and that boards and internal teams receive timely, accurate onboarding information. The Onboarding Accounting Manager plays a critical role in ensuring a smooth transition from sales to long‑term operational accounting.

Requirements

  • Bachelor’s degree in accounting, Finance, or related field required.
  • HOA or property management accounting experience strongly preferred.
  • 3–7 years of progressive accounting experience, including process management or team leadership.
  • Strong knowledge of HOA accounting including assessments, reserves, fund accounting, and board reporting.
  • Experience with HOA accounting software.
  • Comfortable working with system integrations and data migration tools.
  • Excellent communication skills, especially in working with HOA boards and cross‑functional teams.
  • Strong understanding of GAAP and internal controls.
  • Strong project management skills and the ability to meet onboarding deadlines.
  • High attention to detail and accuracy in data migration and setup.
  • Ability to manage multiple onboarding projects simultaneously.

Responsibilities

  • Client & Internal Onboarding Management Lead and manage onboarding activities for new HOA communities, ensuring compliance with governing documents and state regulations.
  • Guide and support onboarding team members to serve as the primary accounting contact for HOA boards, community managers, and transition teams during onboarding.
  • Review management contracts, CC&Rs, budgets, and prior financial reports to understand accounting requirements for each association.
  • Develop community onboarding timelines and task lists to ensure timely and accurate setup.
  • Oversee the setup of each HOA’s chart of accounts, budget structure, GL mapping, bank accounts, reserve funds, and assessment schedules.
  • Collect, validate, and migrate historical financial data, including owner balances, AP aging, bank reconciliations, and reserve balances.
  • Ensure accurate configuration of assessment billing, collections parameters, late fees, and payment options.
  • Work closely with technology and implementation teams to ensure successful system integration and setup.
  • Ensure onboarding processes comply with state HOA regulations, reserve standards, internal controls, GAAP, and company accounting policies.
  • Review and document community‑specific financial procedures (reserves, reimbursements, delinquencies, prepaid assessments, etc.).
  • Identify missing or incomplete governing documents and work with community managers to resolve gaps.
  • Implement best practices in accounting operations, internal controls, and system utilization.
  • Perform detailed reviews of migrated data to ensure accuracy and reconciliation with prior management records.
  • Prepare initial financial reporting templates to ensure communities are set up correctly for future month‑end cycles.
  • Identify operational risks during onboarding and develop strategies to mitigate them.
  • Support the transition to ongoing accounting teams with thorough documentation and onboarding notes.
  • Join onboarding and board orientation meetings to present financial setup and answer accounting questions.
  • Partner closely with Community Managers, Closing/Transfers, AP, AR, and Banking teams throughout the onboarding lifecycle.
  • Provide guidance and training to staff involved in HOA onboarding practices and financial systems.
  • Escalate risks, challenges, or missing data proactively to leadership and stakeholders.
  • Design, implement, and maintain KPI framework that measures productivity, accuracy, service level adherence, and operational quality.
