About The Position

The On Call Office Support staff provides administrative support to our business on an ‘as-needed’ basis. Office Support is a position that primarily covers reception and front desk duties and requires frequent contact with all employees of the business, the public, and outside vendors.

Requirements

  • High school diploma or GED.
  • Exceptional verbal and written communication skills.
  • Professionally and tactfully interact with all levels of employees, vendors and the public.
  • Knowledge of computer applications for word processing, spreadsheets, and databases
  • Ability to perform tasks and achieve results with a high degree of accuracy and efficiency.
  • Professionally deal with unexpected demands, adapt to changes in workload, and organize priorities.
  • Work under minimal supervision.
  • Exhibit resourcefulness to accomplish tasks.
  • Exhibit superior ethical and professional standards with all business contacts and co-workers.
  • Maintain security and confidentiality of information, demonstrating discretion and professionalism.

Nice To Haves

  • Previous office experience preferred.

Responsibilities

  • Answer the phone, determine the purpose of calls, and forward calls to the appropriate person or department.
  • Transfer calls to voicemail or take and deliver messages when applicable.
  • Provide callers with information such as company address, directions to the company location(s), company fax numbers, company website and other related information.
  • Welcome onsite visitors and announce visitors to the appropriate person.
  • Distribute incoming mail and deliveries to the appropriate recipient.
  • Maintain a safe and clean reception area.
  • Ensure clean and functional breakroom and common spaces.
  • Coordinate the pick-up and delivery of express mail services in accordance with carrier requirements.
