About The Position

Responsible for providing comprehensive administrative, operational, and customer facing support for the SummitStone Innovation building and Intake operations. This position ensures smooth functioning of the Innovation front desk, supports clinical and administrative workflows, and performs critical accuracy, reporting, and auditing tasks to support client care and regulatory requirements.

Requirements

  • High school diploma or completion of G.E.D. required.
  • Equivalent combination of education and experience may be evaluated and considered

Nice To Haves

  • At least one year of experience in administrative, customer service, or healthcare support preferred.
  • Experience in behavioral health or medical office settings preferred.
  • Bilingual/bi-cultural preferred.

Responsibilities

  • Greet and assist guests; answer phones; support conference room setup; maintain supplies; manage entry, flow, and customer service for the Innovation building.
  • Support the Operations team with program-specific auditing and information collecting tasks, at the direction of Operations leadership.
  • Review completed intake files to ensure they are accurate, complete, and aligned with required documentation standards.
  • Conduct insurance audits and escalate cases without qualifying coverage.
  • Support Waitlist Management by maintaining weekly scheduling workflows and ensure follow-up requirements are met for clients awaiting ongoing care.
  • Complete monthly and daily reporting tasks to internal and external constituents as directed by Operational Leadership.
  • Support Information Systems team with state mandated reporting.
  • Coordinate and document Treatment Team Calls and Clinical Case Reviews, including scheduling, preparing agendas, and providing scribing support.
  • Serve as the building safety officer by conducting safety checks, support the mail and courier system, and complete weekly bank deposits.
  • Perform other duties as assigned.
