About The Position

Full time administrative position overseeing all aspects of jury management. Work of Coordinator involves scheduling, summoning and excusing/deferring jurors in accordance with established practices/procedures. Position also issues payments to jurors and compiles periodic reports used to analyze juror efficiency. Work is primarily hands on and people oriented. Employees in this class report to the President Judge and District Court Administrator through the Deputy District Court Administrator.

Requirements

  • Education equivalent to completion of high school, including and/or supplemented by course work in standard business practices or clerical legal training.
  • Four years of clerical experience in a professional legal or court office setting, which has included substantial involvement with cases or other materials under a Court’s jurisdiction.
  • Any combination of education and experience which is an acceptable substitute for the knowledge, skills and abilities cited above.
  • Able to communicate effectively both verbally and in writing and possess excellent interpersonal skills.
  • Skill in operating computer, copier, scanner, printer and other equipment as required by work assignments. A high level of computer proficiency is required.
  • Thorough knowledge of clerical practices and procedures governing documentation and processing of cases commonly employed in governmental, legal and/or court offices.
  • Thorough knowledge of English usage, grammar, spelling and punctuation including terminology, as used in legal or court offices.
  • Knowledge of the Court of Common Pleas functions, objectives, programs and procedural requirements.
  • Basic knowledge of the organizational relationships within the Court and related organizations.
  • Skill in organizing workload, establishing priorities and completing clerical processing requirements independently.
  • Ability to learn specific procedural and statutory case processing requirements that are unique to this position.
  • Ability to establish and maintain effective working relationships with members of the judiciary, associates, callers, visitors, lawyers and representatives of other offices both within and outside the Court system.
  • This position requires a pre-employment background check as required by policy to perform the duties.

Responsibilities

  • Typical work assignments for the Jury Coordinator begins with the preparation of the jury array by requesting a list of eligible jurors from the PA Department of Transportation.
  • Jurors are then selected randomly and sent a jury summons/questionnaire 30 to 45 days prior to service.
  • Upon receipt of the questionnaire from prospective jurors, the information is scanned into a database where a determination is made as to the eligibility of each juror.
  • The Jury Coordinator then makes a determination regarding each juror deemed “not eligible” by excusing the juror, deferring them to a more suitable time or denying their request thus requiring them to appear.
  • In each case, all correspondence must occur timely.
  • The Jury Coordinator then compiles a list of jurors scheduled to report for a specific date and distributes the information accordingly.
  • Assists with the registration of jurors and maintains accurate attendance records.
  • Creates jury panels for voir dire and provides information to the Deputy District Court Administrator regarding the status of the jury pool.
  • Works closely with the Board of Judges and the Jury Commission.
  • Obtains price quotes for jury related services and supplies.
  • Completes “check requests” for vendors in accordance with established fiscal policies/procedures.
  • Monitors the inventory levels of applicable forms to ensure there is always an adequate supply.
  • Prepares budget projections based upon current trends and anticipated expenditures.
  • Prepares monthly statistical reports according to established practices/procedures and submits the results to the Administrative Office of Pennsylvania Courts.
  • Informs the Deputy District Court Administrator of statistical anomalies and makes recommendations to improve juror utilization/processing efficiency.
  • The Jury Coordinator will also complete and/or participate in assignments at the direction of the Deputy District Court Administrator or District Court Administrator.
  • Assist other employees of the Court Administration Office as needed to ensure that customer needs are fulfilled.
