About The Position

The essential function of the Office Staff Assistant within CCRC-N is clerical in nature to perform tasks related to the administrative support of the agency.

Requirements

  • A high school diploma or its equivalent and three-year’s experience in a related field or a bachelor’s degree from an accredited college or university.
  • Microsoft Word and Excel, including pivot tables and merges
  • Google Suite Services including Email, Calendar, Drive and Docs
  • Box.com
  • STMS (Statewide Travel Management System)

Responsibilities

  • Answer incoming agency phone calls
  • Greet agency visitors
  • Process incoming and outgoing mail, shipments, and deliveries
  • Conduct opening and closing procedures for the agency
  • Perform occasional local errands (post office, FedEx, storage unit, etc.)
  • Scan and file documents
  • Maintain state and federal posters required in the workplace
  • Assist with other agency work as necessary
  • Assist with the preparation of travel packets, including travel vouchers
  • Obtain accurate receipts for travel as needed
  • Enter data into STMS (Statewide Travel Management System)
  • Reconcile monthly Sunpass transponder statements
  • Assist with inventory tracking, inspections, and surplus/decommissioned inventory
  • Maintain and process warranty claims for agency items
  • Assist with annual fiscal year-end inventory reports
  • Assist with the purchasing of office materials and supplies
