About The Position

Eugene T. Mahoney State Park is currently seeking a welcoming and customer-focused Office Specialist. In this role, you'll be working in the park’s Group Function Department to help plan and coordinate special events in the park. You will also be working hand in hand with families and companies to set up weddings, reunions, business meetings, and other types of events that they are interested in hosting at the park. Requirements

  • Coursework/training in administrative/office support functions, procedures, and methods including the operation of personal computers and office equipment; or areas related to the programs and functions of the employing agency.
  • Experience in customer service or public contact; or applying criteria/regulations; and/or performing administrative/office/secretarial support work including use of personal computers and office equipment.
  • Driver's license is required.
  • Ability to coordinate group activities, handle multiple tasks, and meet deadlines.
  • Excellent customer service skills and that ability to organize and relay information in a clear and concise manner to the public and agency staff.
  • Operate computer reservation system, maintain records, and prepare reports.

Responsibilities

  • Assist in coordinating and booking group conferences, business meetings, family reunions, catered events, etc. for Eugene T Mahoney State Park as well as assist in planning and implementing special park events.
  • Determine specific needs for reserved event (food service, lodging, room arrangements, equipment needs, special requests, etc.) and relay needs to appropriate park department staff.
  • Assist with development and implementation of advertising, marketing, and promotion of park facilities to qualifying organizations and the public.
  • Assist group coordinators with any last-minute needs that may arise.
  • Maintain records on advanced deposits for group reservations and enter related data into computer system.
  • Prepare and send invoices for event billing.
  • Draft and prepare correspondence to group conference contacts and park staff to coordinate activities.
  • Perform related duties as required.
