About The Position

There is one Office Specialist I opening with the Yakima County Clerk's Office. This position is responsible for providing direct customer service (face to face and by phone) and appropriate assistance in reviewing of all documents submitted for filing to ensure statutory procedures followed, ensure documents are signed originals, etc. and to attends court sessions to take the Public Minute as mandated by State & Federal Law. This position requires a typing test with a minimum of 35 net wpm to be taken online. A testing link will be emailed to you, and these tests must be completed within 48 hours of the closing date. Requirements

  • High School Diploma or GED AND three (3) years of general office experience; OR an equivalent combination of experience or training which provides the knowledge, skills and abilities sufficient to successfully perform the essential duties of the job.
  • Required: Successful completion of a criminal and financial background investigation and general employment verification.
  • Successful completion of a keyboarding test of 35 WPM.

Nice To Haves

  • Experience related to the law and justice field, such as legal secretary, paralegal or civil or criminal justice work is preferred.
  • AA in Criminal Justice / Legal Assistant is preferred and may substitute for experience.
  • Experience working with maintaining complex filing systems both electronic and paper
  • Computer data entry experience preferred.
  • Bilingual English/Spanish is preferred.

Responsibilities

  • Provides one-on-one contact with, and serves, General Public and others at the front counter and by answering incoming calls, dealing with all phases Clerk’s Office operations according to State and Federal law established processes & procedures.
  • Verifies accuracy & completeness of all documents received for filing from the Court, in mail and/or directly from public at Office’s front counter; prior to accepting for filing.
  • Adheres to established Clerk guidelines as to what information is appropriate to relay to the ‘general public’ by the County Clerk’s Office and/or other county/state/federal laws.
  • Process all original Court documents into correct case in Odyssey; note appropriate hearings; ensure documents are legible, file stamped, and scanned correctly.
  • Schedules court hearings through Odyssey by proper extraction of dates from legal documents and correct application of identifying calendaring codes.
  • Performs services required by law, issues letters testamentary, warrants of arrest, orders of sale, and writs of execution, garnishment, attachments, and restitution.
  • Receives & receipts restitution payments as well as monies collected for filing fees & copies per the Clerk’s Fee Schedule; prior to receiving, filing and/or copying documents requiring said fees.
  • Upholds confidentiality of all matters within the Clerk’s Office, and throughout the court system as required by State/Federal/Local laws.
  • When assigned to clerk a court session; reviews documents waiting to be processed, to ensure that Odyssey reflects all documents have been processed and scanned into Odyssey, up to the date of the scheduled hearing.
  • Prepares daily and/or weekly ‘docket’ calendars, verifies confirmation of hearings, and distributes final calendars to appropriate department staff and places copy on Court website
  • Turns on/off the Court’s electronic recording device [FTR] and periodically checks ‘recording’ in lieu of a live court reporter during Court proceedings.
  • Creates Log Notes in Court’s System [FTR] to conform with Clerk processes/procedures as to providing minutes for Public Record.
  • Operates as ‘Bailiff’ for court sessions by opening Courtroom, notifying security as needed; and closing and locking Courtroom after court session adjourns.
  • Records jury selection; prepares and maintains appropriate record; administers oaths, announces jury verdicts; polls jury, records length of proceedings, updates jury time logs, and witness records.
  • Obtains original court documents signed during court sessions; returns to Clerk’s Office to file stamp; distribute and process legal pleadings to conform with state and federal law.
