As a member of the Clinical Support team, the Office Specialist – Front Desk positions perform essential tasks related to making clients feel welcome and valued when they check in for appointments. Office Specialists are the first point of contact for most of DBH clients when coming for treatment and creating the critical first impression. Essential Job Functions The Office Specialist - Front Desk must be able to perform the following essential job functions: Gather client and insurance information efficiently and accurately. Request, collect, and process co-payments and other payments from clients at the time of service. Convey all necessary information related to the client's appointment. Work within DBH's electronic medical record system and have a working knowledge of HIPAA and other privacy laws. Answer telephones, screen calls, take messages, and provide information to the appropriate source, when necessary. Monitor the work area, including the clinic lobby, to ensure that it remains safe, secure, professional, and well-maintained. Be knowledgeable about the crisis system and know when and how to activate it. Perform basic office operations, including signing for and coordinating pickup of delivered packages, communicating with other DBH employees about appointments and appointments, and other tasks related to daily business functions.
