As a Support Staff you will: Provides administrative and clerical support to DHS Office of Contracts and Procurement staff and managers. Identifies information needs and coordinates with involved parties to ensure information is obtained. Review request forms and other documents for compliance with established standards and ensures all necessary documentation is provided and complete, if not, returns request form for correction. Receive incoming telephone calls and either responds to requested information or directs the calls to the appropriate staff for further action. Receive mail and correspondence, reviews for actions required, and delivers to appropriate staff members. Organizes and maintains contracts, inventory, and purchasing filing systems, controls records of information received, routed, assigned or dispersed.

Requirements

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents
  • An associate degree in any field
  • An equivalent combination of education and experience
  • Demonstrated culturally responsive communication with diverse populations across multiple channels—including over the phone, in person, and via email.
  • Experience using computers and Microsoft applications—including Microsoft Word, Microsoft Excel, Microsoft Outlook, Microsoft Teams or other software applications.
  • Experience using OregonBuys eProcurement system.
  • Experience prioritizing tasks under pressure, adapts quickly to changes, and meets deadlines with high-quality results.
  • Experience reviewing work for accuracy and performing quality checks using policies and procedures.
