About The Position

Eastern Oregon Correctional Institution is looking for a well-qualified individual for an Office Specialist 2 vacancy for the food service department. As the Food Service Office Specialist, you will perform a wide range of administrative, operational, and supervisory duties essential to the daily functioning of the Food Service Department. Responsibilities include providing comprehensive administrative and clerical support to the Food Service Manager, managing mail, preparing correspondence, scheduling appointments, screening calls, and directing inquiries to appropriate personnel. The position processes all purchasing and accounting tasks for the unit, including entering purchase orders, coordinating with vendors, reconciling invoices, submitting payments, and maintaining accurate inventory records. This role also oversees the scheduling and coordination of the AIC workers assigned to kitchen and bakery operations, prepares daily turnout sheets, verifies worker eligibility. Additional duties include tracking food sales to the canteen, preparing billing and cost reports, compiling budget data, and supporting budget development. Also provides daily supervision to AIC clerks, monitors attendance and program participation, completes DOC400 entries, verifies pay awards, and maintains tool control and office security practices. The position also handles staff payroll reporting, maintains therapeutic diet records, and supports institutional safety by supervising AICs, responding to incidents, and adhering to DOC security protocols. Other duties may include special projects and assignments as directed by Food Service leadership. This position is represented by American Federation of State, County, and Municipal Employees (AFSCME). This position may be eligible for Police & Fire (P&F) benefits through Public Employees Retirement System (PERS), as defined by statute.

Requirements

  • Two years of general clerical experience that includes keyboarding, word processing, or other experience generating documents; OR An associate degree in any field; OR An equivalent combination of education and experience.
  • Skill in performing a variety of clerical functions at a technical or secretarial support level in an office.
  • Skill in communicating orally and in writing with a variety of people answering questions and gathering and exchanging information.
  • Skill in organizing work efficiently and exercising independent judgment in making appropriate decisions concerning work methods.
  • Skill in applying specific, well defined rules, regulations, policies, and procedures to work performed.
  • Skill in typing (proficiency levels will be based on individual position requirements).
