Summary: The Office Services Site Manager oversees daily mail, shipping/receiving, and intake operations in a campus environment, ensuring compliance, workflow efficiency, and exceptional client service. This role leads and develops staff, manages performance and reporting, resolves operational issues, and maintains safety, quality, and productivity standards. The manager drives process improvements, supports succession planning, and builds strong client and team relationships while ensuring all inbound logistics and office services run smoothly and efficiently.

Requirements

  • Must have excellent working knowledge of shipping, receiving and logistics services.
  • Excellent knowledge of Fed Ex shipping and other shipping software as needed.
  • Requires proven track record of operations leadership and integrity by possessing 5-7 years of related experience in Production, Office services, Shipping & Receiving or logistics Management; extensive International Shipping experience.
  • Strong organizational and administrative skills
  • Proven ability to lead a team, provide direction and proactively solve problems and issues as they arise
  • Proven ability to work in a fast paced, high energy environment
  • Ability to identify and communicate process improvements
  • Physical effort is required which may involve long periods of standing, walking, bending, reaching, stretching, climbing or similar activities as well as lifting or moving items weighing up to 50 pounds.
  • Exceptional leadership expertise and demonstrated track record of creating employee engagement, hiring, retaining and developing staff

  • Strong interpersonal and communication skills
  • Excellent analytic, verbal and written communication skills.
  • Working knowledge of Microsoft Office Suite with proficiency in Excel.

Responsibilities

  • Manage and give daily guidance and direction to the Mail Services Associates in campus environment.
  • Primary responsible for the "Intake" of total Inbound Process
  • Adheres to all vendor compliance requirements for Shipping & Receiving: direct staff accordingly.
  • Solves day-to-day problems regarding mail delivery and Shipping/Receiving services.
  • Extensive client interaction with primary focus of achieving and surpassing client service goals.
  • Prepare and distribute accurate monthly reports.
  • Handle all materials received in the Shipping & Receiving [receive, review, receipt, document, process, prepare, identify, separate, deliver, transport, etc.].
  • Physically distribute mail and Courier packages by cart, dolly or hand truck to and from various departments throughout the building/campus.
  • Maintains efficient workflow by holding direct reports accountable for quality and efficiency of their work while meeting quality and deadline standards by the effective use of job scheduling practices.
  • Create and manage succession plans for all areas of responsibility.
  • Ensure adherence to business guidelines, safety & security procedures
  • Keep client and Regional Operations Manager informed daily of operational efficiencies and potential problems.
  • Must demonstrate leadership qualities while resolving interpersonal conflicts and nurturing team work among the teams.
  • Clearly communicate job expectations/consequences of employees by training, cross-training, coaching, counseling, directing, evaluating the work of subordinates to increase their work output and work quality.
  • Establish clear measurable goals and objectives by which to determine individual and team results (i.e. operational metrics, results against project timelines, training documentation, attendance records, knowledge of operational roles and responsibilities, personal development goals).
  • Prepare annual employee appraisals and evaluate daily performance.
  • Utilize tools to monitor departmental cost and cost trends, striving continuously to improve value
