We offer the opportunity to work within an innovative and collaborative environment. Join our Team as a Temporary Office Services Clerk located in our San Diego (Del Mar) office. Position Summary On a temporary basis, the San Diego office of Greenberg Traurig is looking for an Office Services Clerk to support reception, office services, and other administrative functions at the discretion of the office’s Office Services Manager and/or Business Director. This position, presently slated for at least one year, is responsible for performing general office tasks including internal mail delivery, arranging for UPS and messenger services, processing incoming and outgoing mail, faxing, handling large print, scan and/or copy jobs and other general administrative duties as assigned. Candidate should also be flexible to work overtime as needed.

Requirements

  • High attention to detail, outstanding organizational skills and the ability to manage time effectively
  • Excellent interpersonal and communication skills (oral and written), professional demeanor and presentation
  • Position also requires the ability to work under pressure to meet strict deadlines, adapt to a fast paced high pressure environment to achieve business goals and objectives
  • Candidate must be a self-starter who can work well under minimal supervision as well as take a proactive approach in being team oriented
  • Strong problem-solving skills, takes initiative and uses good judgment, excellent follow-up skills
  • High School Diploma
  • Minimum 1-2 years prior office services and/or receptionist experience, preferably in a law firm
  • Must have a competent working knowledge of all functions of copy, printing, binding, scanning and mailing equipment
  • Computer proficiency in Windows-based software and Microsoft Office Suite applications including Word, PowerPoint, Excel and Outlook
  • Exceptional computer skills with the ability to learn new software applications quickly

Responsibilities

  • Maintains the overall appearance of the reception area and the office which includes ensuring food and beverage pantries are well stocked; areas are clear of clutter; etc.
  • Greet and assist guests to the office on behalf of the staff and attorneys
  • Processes incoming and outgoing mail
  • Handles all internal mail delivery and pick up
  • Arranges for UPS and messenger services
  • Handles large print, scans and/or copy jobs, faxing, stocks paper at printer stations, orders and stocks office supplies, assists with office moves and conference room set-up
  • Coordinates with the main office on meeting needs interoffice such as copy jobs, print jobs, mass mailings, and more (This may require occasional visits to the main office which is within walking distance from the satellite location)
  • Performs other general administrative duties as assigned
  • Overtime may be required at times, with or without advance notice, including very rare weekend workdays
  • Assists with other department activities as needed, and performs additional duties and responsibilities as assigned
