About The Position

The Mobile, AL office of Burr & Forman LLP, a dynamic, service-oriented law firm, seeks a full-time Office Services Assistant to join our growing team. Major responsibilities include distributing mail, maintaining inventory, and assisting with office maintenance. KEY CONTRIBUTIONS Complete copy, scanning, and fax requests in a timely manner. Provide backup reception coverage in answering phones, directing calls, and greeting visitors and clients Operate the main copy center; copying, binding, document stamping, certified mail, mail pickup/drop off and local hand deliveries File court documents as directed and check all firm boxes at courthouse Complete various administrative reports Move small furniture and office equipment as needed Setup conference rooms for meetings as requested and restock supplies as needed. Stock and maintain cleanliness in kitchen(s), refrigerator(s), and supply room(s) daily. Enter billable time into the firm's billing software and submit expense reimbursements Inventory supplies regularly and order supplies as needed. Empty recycle boxes at designated times and as requested. Take bins downstairs for weekly pickup Perform minor office maintenance and repairs such as replacing light bulbs, performing minor repairs on furniture, fixtures, etc. as requested Assist IT with setup/moving of IT equipment and video conferencing set-up Complete runs in-town and out-of-town, as needed Other responsibilities as needed THE ESSENTIALS Must have dependable vehicle, clean driving record, valid driver license, proof of liability insurance, and the ability to walk extensively and to lift up to 35 pounds. Familiarity with Mobile and surrounding areas is preferred. A high school diploma or equivalent. Previous work experience in office setting preferred. Proficient with Microsoft Word and Outlook. Professional appearance and demeanor with commitment to providing exceptional client-service Highly organized, detail-orientated, proactive with a desire to take ownership as a contributing member of the team. Balance competing priorities and work effectively in a fast-paced environment, exercising patience and professionalism during stressful situations. Strong verbal and written communication skills.
