Responsibilities: Responsible for overview and supervision of all Illinois Eye Center schedules behind the scenes. Schedulers are responsible for inputting schedules into the electronic medical record (EMR) and ensuring the schedules are available for at least the next 12 months at all times as well as monitors all eye care providers’ schedules to ensure appointments are scheduled correctly and the schedules are leveled. Works closely with the Call Center and other patient support departments by providing next level support. Approves all appointment overrides and inserts. Follows all Illinois Eye Center values. Other responsibilities include rescheduling and canceling appointments, scheduling appointments from referrals from outside providers to Illinois Eye Center, and verifying patient’s demographical information. Scheduler should be able to ensure that sufficient time is allocated to each appointment.

Requirements

  • High school diploma or equivalent.
  • Scheduling experience preferred.
  • Experience with healthcare and patient care helpful.
  • Demonstrable skills in motivating and training staff.
  • Work well independently and as a team player.
  • Possess excellent computer skills related to the Scheduling component of the system.
  • Excellent customer service and clear communication oral and written are required.
  • Maintain a professional, respectful and friendly image.
  • Well-organized with attention to detail while working in a fast paced environment
  • Confident in decision making
  • Ability to be flexible and manage multiple tasks simultaneously
  • Empathetic with patients’ needs and concerns
  • Treat all patients with dignity and respect

Responsibilities

  • Maintains all IEC schedules for patient appointment scheduling.
  • Works closely with the other patient support departments.
  • Ensures all patients on schedules needing re-adjusted receive a new appointment within appropriate scheduling guidelines.
  • Approves all appointment inserts and overrides.
  • Coordinates with clinical staff for smooth patient flow.
  • Run worklists to ensure patients receive return appointments.
  • Efficiently and accurately complete urgent schedule changes as needed by the practice.
  • Work closely with lead scribes to provide scheduling assistance and contact patients for follow up appointments.
  • Serves as a role model for all patient support departments.
  • Other duties as assigned.
