Check us out online at www.capstonehospice.com As the Office Receptionist you serve as the first point of contact over the phone for hospice patients and families in addition to greeting office visitors. This role requires excellent communication skills, empathy, and professionalism while supporting administrative and clerical functions. This role operates in a professional office environment and involves routine use of standard office equipment such as phone, computers, and office software. This role will require collaboration closely with cross functional teams in a goal-oriented setting.

Requirements

  • Previous receptionist or administrative experience (healthcare setting preferred)
  • Proficiency using Microsoft Office (Outlook, Teams, Word, Excel)
  • Experience in a hospice, palliative care, or healthcare administrative position.
  • Experience with using an electronic health record (EHR/EMR) system.
  • Strong verbal and written communications skills.
  • Excellent interpersonal skills with a compassionate demeanor.
  • Ability to manage multiple tasks with urgency.
  • Strong organizational and time management skills.
  • Knowledge of confidentiality and patient privacy laws.

Responsibilities

  • Ensure a positive first impression for all callers; assist hospice patients & families over the phone with warmth and sensitivity.
  • Greet and welcome office visitors in a professional and friendly manner, creating a positive first impression.
  • Answer and direct incoming phone calls in a courteous and timely manner.
  • Provide general information and hospice services and direct inquiries appropriately.
  • Maintain call log in compliance with HIPAA privacy regulations
  • Receive, sort, and distribute mail and deliveries.
  • Perform data entry and basic administrative tasks (faxing, copying, scanning)
  • Supports other departments as needed.
  • Ensure the reception area remains clean, organized, and welcoming.
  • Handle sensitive situations with discretion and compassion
