Alera Group is looking for an Office Operations Coordinator to join our Portland, Oregon office. Requirements

  • High school diploma or equivalent required; some college or vocational training preferred.
  • Previous customer service experience required; reception experience a plus.
  • Proficient in Microsoft Office Suite, including Outlook, Word, and Excel.
  • Strong verbal and written communication, problem-solving, and critical thinking skills.
  • Friendly, enthusiastic, and professional demeanor with proven customer service abilities.
  • Highly organized with keen attention to detail.
  • Able to work independently and collaboratively in a team environment.

Responsibilities

  • Serve as first point of contact by greeting visitors, assisting employees, answering calls, and managing front office duties.
  • Support the Portland, Oregon office with clerical and administrative tasks.
  • Process incoming/outgoing mail, packages, checks, and FedEx shipments; validate parking and manage vendor/service issues.
  • Maintain working knowledge of internal systems, directories, and carrier/vendor platforms.
  • Provide operational and client support including data entry, document prep, report generation, and mailings.
  • Coordinate meetings and events, manage office/breakroom supplies, and ensure meeting room tech is ready.
  • Assist with equipment returns, maintenance requests, and complete cross-departmental projects as assigned.
