About The Position

Haffner's is a prominent wholesale fuel distributor in New England, managing 72 gas stations, convenience stores, car washes, and food service locations across Massachusetts, New Hampshire, and Maine. The company also provides heating oil, propane, and HVAC services to 45,000 customers. Haffner's culture is built on family, integrity, safety, growth, innovation, and excellence. The Office Manager position is accountable for overseeing the general administrative functions and any events or activities in the office. This includes leadership of the Customer Service team and office personnel, establishment of best practices, protocol, and techniques for heating and cooling, and ownership of customer satisfaction. The role also provides administrative support to the Operation Manager.

Requirements

  • Demonstrated leadership and management background, with an emphasis on setting direction, coaching in a positive manner, team building and achieving organizational goals
  • Concise, effective verbal and written communications skills with strong conflict resolution abilities
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Excellent verbal and written communication skills
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Ability to prioritize tasks and to delegate them when appropriate
  • Ability to function well in a high-paced and at times stressful environment
  • Strong organizational and planning skills in a fast-paced environment
  • High School degree
  • Proficient in MS Excel, Outlook, PowerPoint, and Word, as well as web-based applications
  • High school diploma or equivalent required
  • At least three years of administrative and clerical experience required

Nice To Haves

  • Prior Cargas Experience strongly preferred
  • Additional qualification as an administrative assistant or Secretary will be a plus
  • Associate degree in office administration or related field preferred
  • Prior office management experience preferred

Responsibilities

  • Overseeing the general administrative functions and any events or activities in the office
  • Leadership of Customer Service team and office personnel
  • Establishment of best practices, protocol, and techniques for heating, cooling and ownership of customer satisfaction
  • Provide administrative support to Operation Manager
  • Greet visitors/clients/new hires to the office and ensure appropriate personnel are notified
  • Maintain office supply inventory
  • Answer the phones
  • Maintain positive attitude and morale for the entire team
  • Develops working relationships with key customers at the local level and interfaces with key high impact accounts
  • Supervise and train personnel involved in Customer Service and Dispatching
  • Perform other duties that may be assigned by senior leadership
