About The Position

The Office Manager is responsible for ensuring the smooth and efficient operation of Sedron Technologies' operations site environment, providing administrative, operational, and organizational support to the leadership team and employees. This role manages office facilities, vendor relationships, supplies, and administrative processes while serving as a central resource for internal communications and employee experience initiatives. The Office Manager plays a vital role in creating a welcoming, organized, and productive workplace that reflects Sedron's culture and values. This is a highly visible, service-oriented role that requires strong organizational skills, professionalism, and the ability to anticipate and respond to the needs of a dynamic, growing organization. Because we design, build, commission, and operate our technologies, we are looking for individuals who can meet the following essential functions of the position:

Requirements

  • Associate's or Bachelor's degree in Business Administration, Office Management, or related field preferred; equivalent experience considered
  • 3–6 years of office management, executive assistance, or administrative management experience
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint); experience with office management tools and procurement systems a plus
  • Excellent organizational and multitasking abilities; strong vendor management and problem-solving skills
  • Proactive, service-oriented mindset with a genuine commitment to creating a positive office environment
  • Exceptional organizational and time management skills; ability to manage multiple competing priorities with grace
  • Strong interpersonal and communication skills; professional, approachable, and resourceful
  • Discretion and good judgment when handling sensitive administrative, HR, or financial information
  • Flexibility and adaptability in a fast-paced, growth-stage company environment
  • Must have strong verbal and written communication skills in the English language
  • Ability to sit or stand for extended periods at a desk or workstation
  • Regularly moves about the office to coordinate facilities, greet visitors, and manage supplies
  • Occasionally lift and carry items up to 30 pounds (e.g., supply boxes, equipment)

Responsibilities

  • Manage day-to-day office operations including facilities maintenance, vendor coordination, supply procurement, and equipment management
  • Serve as the primary point of contact for building management, office service vendors, and facilities-related issues
  • Support leadership team with calendar management, travel coordination, meeting logistics, and document preparation
  • Coordinate onboarding logistics for new employees including workspace setup, equipment provisioning, and office orientation
  • Plan and execute company events, site meetings, team celebrations, and employee recognition activities
  • Manage office supply inventory and purchasing, ensuring cost-effective procurement in alignment with budget guidelines
  • Maintain organized filing systems, contracts, and administrative records; support document management and retention policies
  • Act as a point of contact for general employee inquiries related to office facilities, policies, and administrative processes
  • Responsible for coordinating vendor and contractor performance for office-related services
  • Assist with accounts payable processing for office-related expenses and vendor invoices
  • Support HR with logistics for recruiting, onboarding, and employee engagement activities
  • Coordinate with IT on office technology needs including equipment setup and troubleshooting requests
  • Secondary duties may evolve based on operational needs and business priorities.
