About the position: Front Desk & Communication Serve as the primary point of contact for visitors, clients, and vendors with professionalism and discretion Collect and log contact information for visitors Keep conference rooms, meeting areas and breakroom clean and meeting ready at all times Manage incoming and outgoing mail, packages, and courier services, to include weekly check deposits Maintain a welcoming, organized, and professional front office environment Administrative & Office Management Organize and maintain digital and physical filing systems Track, renew, and manage subscriptions, software licenses, and office services Maintain office supplies inventory and coordinate ordering as needed Travel & Scheduling Support Coordinate with company travel agency to manage domestic and international travel arrangements (flights, hotels, ground transportation, itineraries) Assist with calendar coordination and scheduling as needed Ensure all travel documentation and confirmations are properly organized and accessible Event & Meeting Coordination Assist the Senior Executive Assistant with planning and coordinating internal meetings, retreats, and events Manage logistics including venues, catering, materials, and scheduling Support on-site event execution when required Operational Support Liaise with vendors, service providers, and building management Identify opportunities to improve office efficiency and administrative workflows Handle confidential information with discretion and professionalism Growth & Advancement Opportunity This role is designed as a pathway to an Executive Assistant position . As responsibilities expand, the individual may take on: Direct executive calendar management High-level travel and meeting coordination for senior leadership Preparation of executive communications and materials Cross-functional coordination on strategic initiatives Increased exposure to leadership decision-making and operations

Requirements

  • 5+ years of experience in a receptionist, office manager, administrative assistant, or similar administrative role
  • Proven experience managing travel logistics and itineraries
  • Strong organizational and time-management skills with exceptional attention to detail
  • Excellent written and verbal communication skills
  • High level of professionalism, reliability, and discretion
  • Ability to manage multiple priorities and adapt in a fast-paced environment
  • Proficiency with Microsoft Office Suite
  • Comfortable managing shared inboxes, digital filing systems, and calendars
  • Experience tracking licenses, subscriptions, and vendor accounts
  • Proactive and self-directed
  • Calm under pressure

Responsibilities
