About The Position

The Office Manager is responsible for coordinating the administrative and operational functions of the Department of Natural Resources’ satellite office located in Spokane, Washington. This office houses multiple DNR programs and up to fourteen staff members. The Office Manager ensures the efficient operation of office systems, facilities, and administrative processes while supporting staff across multiple programs located within the Spokane office. This position coordinates office workflow, manages administrative records and documentation, assists with fiscal and purchasing processes, and facilitates communication and coordination between DNR programs, Tribal departments, and external partners.

Requirements

  • High school diploma or equivalent.
  • Minimum of two (2) years' experience of office administration, office management, or similar professional administrative role.
  • Strong organizational and time management skills with the ability to prioritize tasks and meet deadlines.
  • Ability to effectively communicate with diverse audiences including staff, Tribal departments, partner agencies, and community members.
  • Knowledge of office administration practices and procedures.
  • Ability to learn and apply Spokane Tribe of Indians policies and procedures.
  • Competency with computer systems including Microsoft Office (Word, Excel, Outlook, PowerPoint).
  • Ability to maintain accurate records and manage administrative documentation.
  • Ability to apply logical thinking to a wide range of administrative and operational problems.
  • Ability to work independently while supporting multiple staff and programs.
  • Must have a valid Washington State driver’s license and must meet insurance requirements.
  • Must be bondable.

Nice To Haves

  • Post-high school degree in business administration, accounting, office management, or a related field.
  • Four (4) or more years of administrative or office management experience.
  • Experience supporting multi-staff or multi-program offices.
  • Knowledge of Spokane Tribe of Indians policies, procedures, and fiscal management practices.
  • Experience working within Tribal government or natural resource programs.

Responsibilities

  • Oversee the daily administrative operations of the Spokane DNR office.
  • Maintain office organization, workflow systems, and administrative procedures.
  • Ensure shared office spaces, meeting rooms, and administrative areas are functional and properly maintained.
  • Monitor office equipment, inventory, and supplies; order supplies as needed.
  • Coordinate use of conference rooms and prepare meeting spaces for meetings, workshops, and conference calls.
  • Maintain office filing systems and records management procedures.
  • Provide administrative support to DNR programs housed within the Spokane office.
  • Assist staff with phones, mail, document preparation, copies, filing, and other administrative needs.
  • Receive, sort, and distribute incoming mail and ensure outgoing mail is properly delivered.
  • Prepare letters, memoranda, reports, and other administrative documents as requested.
  • Maintain confidentiality of sensitive personnel, program, and financial information.
  • Assist with monitoring program budgets and administrative financial records.
  • Prepare and process purchase orders, vouchers, reimbursements, and internal invoices.
  • Coordinate with the Finance Department as needed.
  • Maintain records associated with purchasing, contracting, and approval processes.
  • Maintain updated departmental forms such as leave requests, travel forms, mileage forms, and personnel status changes.
  • Maintain organized records related to program administrative documentation.
  • Coordinate communication and scheduling between DNR programs, Tribal departments, and external partners.
  • Assist with planning and coordination of meetings, workshops, trainings, and conference calls.
  • Provide assistance to visitors, partners, and community members contacting the Spokane DNR office and direct inquiries appropriately.
  • Monitor the maintenance and security of the Spokane office, equipment, and program vehicles.
  • Maintain records associated with office equipment and vehicle usage.
  • Coordinate maintenance needs as necessary.
  • Assist with delivery of administrative documents between Tribal offices located in Spokane, Wellpinit, and other locations as needed.
  • Assist program staff in coordinating administrative aspects of projects and program activities.
  • Support coordination of staff activities and office workflow across DNR programs located in the Spokane office.
  • Develop and implement improved administrative procedures and office management practices.
  • Maintain filing systems and documentation related to complex projects and program processes.
