We are looking to hire an Office Manager for our Jackson, TN office. Primary Role: The Office Manager is a full-time, office-based position located at Amteck’s Jackson, TN branch. This role is pivotal to the successful operation of our Jackson branch, acting as both the administrative backbone and the welcoming face of Amteck in the region. They are responsible for managing the day-to-day administrative operations of the office and supporting overall branch efficiency. The Office Manager will oversee the daily functions of the office, providing vital support to staff, coordinating office activities, and ensuring a professional and efficient environment for employees and guests. This role requires strong organizational skills, professionalism, and the ability to manage multiple tasks in a fast-paced environment. The ideal candidate will be highly organized, personable, and proactive—someone who takes pride in creating a smooth-running and welcoming office space. The Office Manager reports to the Project Executive and General Manager of the Jackson office.

Requirements

  • Proven experience in an office management or administrative support role, ideally within the construction industry
  • Exceptional communication and interpersonal skills; ability to interact professionally with visitors, clients, and internal teams
  • Proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams) and other standard office software.
  • Strong attention to detail, organizational skills, and ability to manage multiple priorities simultaneously
  • Ability to work independently while being a reliable team player.

Responsibilities

  • Serve as the first point of contact for guests and visitors, ensuring a professional and friendly front office presence
  • Provide general administrative support for Jackson office employees and leadership
  • Handle payroll and time entry for applicable construction projects with accuracy and timeliness
  • Plan, coordinate, and prepare for office meetings, customer visits, and internal activities
  • Prepare and organize materials for meetings as needed
  • Schedule appointments and send meeting invitations on behalf of Jackson team members
  • Coordinate travel for Jackson office employees, including booking flights, hotels, and rental vehicles
  • Manage office supply inventory, order new supplies as needed, and handle basic office housekeeping
  • Perform clerical duties such as faxing, filing, scanning, and data entry
  • Handle shipping and receiving of packages, mail, and other correspondence
  • Maintain close communication with preconstruction staff and monitor action items for ongoing and upcoming projects
  • Follow up with preconstruction and office team members to ensure project-related tasks are on track
  • Proactively support and assist with smooth workflow and communication across departments
