About The Position

The Office Manager will work closely with the principal and oversee the general administrative functions and activities of the front office including but not limited to the following:

Requirements

  • High school diploma or equivalent required
  • At least three (3) years of administrative and clerical experience required
  • Fingerprint Clearance Card
  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.

Responsibilities

  • Oversee the daily work activities of the front office.
  • Provide support when needed to assist staff with assigned administrative duties such as answering phones, sorting and distributing mail, and preparing documents.
  • Provide oversight for the petty cash fund.
  • Maintain inventory of office supplies and place new orders as needed.
  • Maintain office files and implement an efficient system for other staff to access files and records
  • Register incoming students and process enrollment materials. Enter data in the computer, coordinate services and information with sending/receiving schools and district offices; complete withdrawal procedures for students leaving the school.
  • Maintain records and staff and student files. Assist with the assignment and release of substitute personnel.
  • Collect money for various student activities, submit daily lunch count, and generate and print weekly lunch roster as needed.
  • Coordinate a variety of programs as requested including the federal survey, school pictures, and other activities. Coordinate with the Parent Teacher Association to facilitate activities.
  • Serve as a school receptionist; answer and respond to telephone and in-person inquiries from students, staff, parents and community members. Answer the telephone and screen calls for the SVA campus.
  • Serve as the primary administrative support to the principal by maintaining the appointment calendar and scheduling meetings. Compile data for enrollment and other reports and lists, format and type correspondence, forms, memos and reports.
  • Type and distribute staff bulletin and/or school newsletter.
  • Record and transcribe meeting minutes.
  • Schedule building use. Monitor and assign building keys, and maintain the safe. Troubleshoot problems with office equipment and call for service as necessary.
  • Receive accounts for and distribute school supplies, textbooks and materials and take periodic inventory.
  • Collaborate with the Administrative Assistant and other front office staff to perform duties related to the SIS and PowerSchool.
  • Provide support to the Health Aide as needed.
  • Perform other related duties as assigned.
