OFFICE MANAGER SpaceX is looking for a talented and detailed-oriented Office Manager to support the day-to-day operations at our Washington, D.C. office. The Office Manager will drive efficiencies and best practices across the site to enhance the experience of employees, customers, and visitors. The successful candidate is passionate about our mission, a strategic thinker with a can-do attitude, a strong communicator, and someone who thrives in a fast-paced, dynamic environment.

Requirements

  • High school diploma
  • 5+ years of work experience
  • Experience with Microsoft Windows and Microsoft Office, including Word, Excel, PowerPoint, and Outlook

Responsibilities

  • Act as the first point of contact for guests, clients, and vendors visiting SpaceX
  • Provide exceptional service to internal and external customers via phone, email, chat applications, and face-to-face
  • Design and implement office policies by establishing standards and procedures; measuring results against standards; making necessary adjustments
  • Assist with coordination/scheduling of meetings with site teams as requested by other SpaceX departments and locations
  • Assist with organizing, preparing, and hosting meetings. Responsibilities may include preparing meeting content, coordinating food and beverage, furniture re-arranging and audio-visual needs
  • Perform company sensitive and complex administrative duties involving Excel, Word and PowerPoint including typing letters, creating/updating spreadsheets, filing, and compiling presentations
  • Manage and maintain momentum on high-priority projects, including but not limited to, staffing and resource planning, facility improvements and relocation, onboarding new team members, space planning, and strategy development for efficiencies among teams
  • Exhibit a strong attention to detail, ability to adapt to daily schedules and routines, and a focus on efficiency without sacrificing quality
  • Coordinate with facilities infrastructure, food services and other support organizations to help manage ongoing improvements and fixes and ensure facilities remain in good operating condition (cleanliness/organization)
  • Work with various teams on administrative duties such as supply orders and submitting PO’s, shipping needs, managing budgets, maintaining and updating internal tracking processes, specialty employee gift coordination and distribution
  • Run various errands as required to support site readiness and excellence
  • Process daily mail and package retrieval/distribution and outbound shipments
  • Plan and execute social events, team-building activities, and culture events throughout the year
  • Offer Ad hoc IT support and troubleshooting
  • Other duties as assigned
