About The Position

Lift Off Distribution is the local Red Bull Energy Drink distributor for Maryland, Washington DC, and northern and eastern Virginia. We work daily to ensure that we are executing the highest level of service that is deserving of our brand. Red Bull is a world-class brand, available in more than 171 countries, and we are proud to represent it. The Office Manager provides support to Finance and Sales teams. The Office Manager will ensure company's receivables are current and accurate. This position requires focus, attention to detail, organization and effective communication skills.

Requirements

  • High School Diploma Required
  • Requires 2+ years of bookkeeping and AR experience
  • Requires a proficient level of computer skills and ability to self-teach a new software application.
  • Must be able to work in a busy and demanding office environment with specific daily deadlines.
  • Must be able to communicate effectively with customers, internal team members, and vendors
  • This is a sedentary position that requires repetitious and dexterous movements of hands, fingers, and arms.
  • Satisfactory criminal background check.

Nice To Haves

  • Proficient knowledge and skills of Microsoft Office tools, especially Excel.
  • Previous work experience in Great Plains preferred.
  • Overtime may be required during the first of the month.

Responsibilities

  • Reconcile daily cash payments from COD customers with each Account Sales Manager “ASM” to ensure paperwork is complete and accurate.
  • Review settlement paperwork for each ASM to ensure that documentation requirements are met for billing purposes (i.e. store stamps on invoices, signatures are complete, proof of delivery documents is acquired, etc.).
  • Deposit customer checks and money orders to the bank each morning using a desktop check scanner.
  • Daily application of customer payments in Great Plains.
  • Post settlement batches to Great Plains each day.
  • Update tracker with settlement issues and communicate to sales team daily.
  • Prepare and send a package of reviewed settlements and deposited checks to Columbia each day.
  • Follow up and resolve settlement issues with ASM in the time frame specified in corporate policies and procedures.
  • Work with other members of the team to resolve issues related to settlements and payments.
  • Process customer credit card payments through a website.
  • Assist sales in opening new customer accounts.
  • Manage bulk deliveries for sales team, if applicable.
  • Receive calls from customers and provide guidance when necessary.
  • Order office supplies as needed for the building.
  • Sort mail and deliveries and distribute accordingly.
  • Other responsibilities and projects as deemed necessary.
  • All other duties assigned.
