About The Position

The basic function of the Office Manager is to assist/support office Executives, coordinate/manage office maintenance/supplies/events and supervise the front desk.

Requirements

  • High School Diploma
  • General secretarial experience; managerial experience.
  • Position requires excellent computer skills.
  • Position requires the ability to communicate and work with a variety of personalities.
  • Position requires strong problem solving and analytical abilities.
  • Position requires excellent attention to detail.
  • Position requires excellent telephone etiquette
  • Must be able to work under stressful deadline situation.
  • Work will be in a climate-controlled office. Workdays will be 40 hours per week. There may be days when overtime is needed.

Nice To Haves

  • Bachelor’s degree in business Admin, Communication, or related field.
  • Construction administration experience highly preferred.

Responsibilities

  • Coordination of security/badging/visitor management duties
  • Administrative document control and field administration duties
  • Coordination for deliveries
  • Coordination of all temporary services for the trailer complex: telecommunications, utilities, janitorial, security, office supplies, keying
  • Assist executive management team with expense reimbursement reports
  • Phone coverage /reception
  • Payroll back-up for timecards process
  • Assist with event management
  • Mailing/shipping management
  • Manage and coordinate the new hire / onboarding process with corporate office including the workstation assignment, equipment order office security (access cards and door locks)
  • Setup hotel and restaurant accommodations as requested
  • Arrange Management Meetings including the organizing of departmental reports
  • General office upkeep (telecommunications, janitorial, security, etc.), coordinate with building management company/landlord
