About The Position

The Office Manager leads business operations for a local civil engineering office. This role oversees financial coordination, vendor management, ERP system administration, onboarding logistics, and administrative team leadership. You’ll partner closely with Project Managers to ensure operational accuracy, compliance, and efficiency across active projects in Central Ohio.

Requirements

  • High School diploma or GED required; Associate’s or Bachelor’s degree in a related discipline preferred
  • 5+ years of experience in civil engineering, land development, environmental consulting, or related professional services
  • Strong understanding of project billing, financial coding, and reconciliation processes
  • Experience supporting project managers in a deadline-driven, multi-project environment
  • Proficiency with MS Office; ERP system experience preferred
  • Strong organizational and communication skills
  • Ability to manage confidential information with discretion
  • Attention to detail with the ability to prioritize competing demands
  • Proactive, solution-oriented mindset with the ability to resolve issues independently

Responsibilities

  • Oversee daily office operations, including vendors, facilities, reception, supplies, and office events
  • Manage sub-consultant agreements, invoices, work authorizations, and purchase orders
  • Support project billing coordination, financial coding, and reconciliation
  • Track certificates of insurance and subcontractor licensure compliance
  • Serve as Subject Matter Expert for Vantagepoint, including project setup, status updates, and change orders
  • Review expense reports and coordinate Accounts Payable processes
  • Compile project status updates and internal financial reports
  • Coordinate onboarding logistics, including IT equipment and documentation
  • Maintain templates, process documentation, and document management standards
  • Supervise, mentor, and develop administrative staff and project coordinators
  • Conduct performance reviews and support team development
