Stone County Medical Center Ortho Clinic Office Manager (full time): Job Summary: Responsible for directing, supervising and coordinating staff and office activities on a day to day basis to provide quality, cost effective patient care. Serve as liaison for providers, nursing and office staff to the director and other interactive departments. Analyze organizational processes and work to improve quality, productivity and efficiency among staff. Professionally provide public service, customer service and promote all levels of staff to have the desire to provide excellent customer service. Job Duties: Coordinate the day to day operations of the practice by having a complete knowledge of the workings of a medical clinic practice to ensure a smooth work flow and adequate staffing in all departments, which includes providing front office and coding coverage as needed. Develop and/or implement and maintain office policies and procedures. Maintain and implement MIPS/MACRA reports to ensure clinic is meeting all CMS measures. Interview, hire, and train a productive medical office team and conduct performance reviews. Maintain and manage all filing and organizational systems for the practice. Ensure patient satisfaction, including troubleshooting when there is a complaint and developing process improvements to prevent recurrences. Ensure regulatory compliance with HIPAA, OSHA, labor laws, and other federal, state, and local regulations. Perform professional communication and presentation including face to face, email, telephone, video conference and staff meetings. Serve as liaison for providers, nursing and office staff to the director and other interactive departments to resolve concerns or find solutions that keep the clinic and WRHS working as a team. Monitor and order supplies and monitor building for issues of cleanliness or needed repairs by completing a risk assessment each month. Upload all clinic charges to the clearinghouse. Monitor A/R and work billing/claim issues, including refund check requests, to facilitate clean patient accounts. Maintaining fee schedules with the different insurance payers to make sure that each payer is paying according to contract. Stay educated on regulations related to Medicare, Medicaid, and commercial insurance to ensure accurate billing and to be aware of incentive programs. Submit daily deposits to WRHS banking staff for reconciliation. Monitor phone system and change recordings as needed. Apply casts, splints, perform nerve conduction studies, and remove sutures. Makes sure patients understand their financial responsibilities. Assist clinic director by approving time cards, submitting statements/purchase invoices for check request, preparing personal property tax statement and other tasks as assigned. Performs other duties as assigned by supervision.
