The Office for Students with Disabilities (OSD) works to support networks, schools, and families with all issues related to special education including instruction, interventions, and legal and compliance support. OSD provides the tools and resources to ensure that all students with disabilities receive a high-quality public education that prepares students for success. Job Summary: Reporting to the Chief of OSD, the Office Manager serves as the central point of contact for all teams and department across OSD and will ensure documentation of key policies and procedures, develop intra-office communication protocols and materials, and perform other key administrative tasks to support the overall success of the Office for Students with Disabilities. This is a full-time, exempt position that will be paid for time worked on a salary basis.

Requirements

  • Associates degree from an accredited college or university, required
  • Minimum of three (3) years experience working collaboratively with a team of professionals
  • Minimum of three (3) years experience managing multiple tasks at once in a fast-paced environment
  • Ability to work as a team player
  • Ability to direct, problem solve, develop and delegate as situations dictate
  • Ability to communicate effectively, both verbally and in writing with all stakeholders
  • Ability to use a range of technology and tools, including but not limited to Microsoft, Google, Oracle, and Kronos
  • Detailed and highly organized
  • Strong planner and exceptional time management
  • Ability to work independently as well as to function effectively and collaboratively in a team environment
  • Excellent organizational skills and ability to effectively multi-task
  • Establish/Maintain Chicago Residency - Employees are required to live within the geographic boundaries of the City of Chicago within six months of their CPS hire date and maintain residency

Responsibilities

  • Track and manage the departmental budget and spending requests including review, approve and coordinate all office purchases via Oracle system.
  • Manage the departmental recruitment, hiring, staffing, personnel actions and onboarding for full time employees and temporary, contract and consultant staff. Track and manage office spacing and staff location assignments and maintain seating charts.
  • Order needed supplies and control supply inventory and onboard vendors as needed through the Procurement process.
  • Identify and maintain proper business relations with key support departments to ensure CPS administrative procedures are adhered to and can be followed in an efficient and effective manner.
  • Coordinate efforts for all events of the Office for Students with Disabilities. Create and manage master calendars for office staffing and operations. Coordinate all support and scheduling for the Department with internal and external stakeholders. Coordinate city-wide and district events sponsored by the Department.
  • Manage schedule, phone calls, documents and files for Chief and Deputy Chief OSD Officers. Handle, troubleshoot and coordinate with appropriate managers timely responses to all confidential matters that are department-related.
  • Ensure proper maintenance, operation and servicing of all office equipment.

  • Manage administrative tasks associated with ad hoc and recurring activities. Perform special administrative projects as needed to facilitate office operations.
