About The Position

The Office Manager / Property Assistant is a dual-function role responsible for supporting corporate office operations and assisting with day-to-day property management functions. This position serves as the first point of contact for office visitors, tenants, and vendors, ensuring a professional, organized, and efficient environment. The role requires strong administrative, organizational, and customer service capabilities, along with the ability to manage multiple priorities in a fast-paced setting. FLSA Classification This position is classified as non-exempt under the Fair Labor Standards Act (FLSA). The employee is eligible for overtime pay for hours worked over 40 in a workweek in accordance with applicable federal and state laws.

Requirements

  • Minimum of two (2) years of experience in an office or administrative environment
  • Strong organizational skills with the ability to manage multiple priorities
  • Excellent written and verbal communication skills
  • Demonstrated professionalism in customer service and interpersonal interactions
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • High attention to detail and accuracy in documentation

  • Experience in property management, facilities coordination, or tenant relations
  • Familiarity with lease documentation and vendor coordination

Responsibilities

  • Sort and distribute incoming mail and prepare outgoing correspondence
  • Prepare and coordinate shipments (e.g., FedEx, UPS)
  • Accept and manage deliveries
  • Coordinate office lunches, meetings, and events
  • Answer and direct incoming calls via mainline phone system
  • Order and maintain office and breakroom supplies
  • Prepare office space and workstations for new hires
  • Assemble and distribute new hire packets (in-person or via shipment)
  • Coordinate travel arrangements for team members
  • Provide administrative support to the Chief of Staff
  • Maintain office organization, cleanliness, and operational readiness
  • Perform other administrative duties as assigned
  • Serve as on-site point of contact for tenants and visitors; represent property management professionally
  • Receive, log, and coordinate tenant maintenance requests and vendor repairs
  • Maintain organized documentation including lease agreements, tenant insurance, and vendor invoices
  • Issue and manage tenant keycards and access credentials
  • Provide access to vacant suites for prospective tenants and tours
  • Accept and distribute deliveries and mail
  • Coordinate with vendors to ensure quality building maintenance and services
  • Track tenant improvement projects to ensure timely completion
  • Provide administrative support to the Property Manager
  • Maintain accurate records and ensure compliance with property procedures
  • Perform other duties as assigned
