Requirements

  • Must be highly organized, resourceful and a strong multi-tasker.
  • At minimum, three years of prior experience in an Office Manager/Administrative Assistant role.
  • Strong oral and written communication skills.

Nice To Haves

  • Spanish and/or Creole speaking is of great value.
  • Associates degree in business or related major preferred.
  • Bilingual (English/Spanish or English/Creole) a plus.
  • Prior experience with financial software packages preferred.
  • Must have and maintain an upbeat, professional and friendly attitude and demeanor.

Responsibilities

  • Assist with administrative processes for hourly employees during maintenance and snow season including reviewing applicants, new hire process, administering drug screens, driver checks, new hire processing in the HRIS, processing I-9s, new hire orientation
  • Assist with uniforms, marketing and pre-printed material.
  • Communicate and track site specific employee engagement programs: Boot program, field incentive program
  • Administrative support and expertise with the facility's H2B employees
  • Assist with the recruitment and hiring of qualified laborers and leadmen for both the landscape and snow removal seasons (during snowstorms also).
  • Assist with being a liaison between the field staff and management including responding to miscellaneous questions/problems.
  • Assist with conducting field safety inspections weekly to ensure safe work habits, all equipment safeties and the appropriate personal protective equipment are being utilized communicating deficiencies as they are identified and educating on safe work procedures. Follow up with your Manager if disciplinary action needs to be implemented.
  • Assist with translating written documents (English/Spanish) and interpret for Spanish speaking personnel and applicants as needed. Interpret for meetings as needed.
  • Assist in the organization and implementation of company parties, new employee orientation programs, training programs, etc. Make training topic suggestions.
  • Assist in the administration of all incentive programs for the facility.
  • Assist in the administration and communication of company policies and procedures.
  • Participate in the facility safety committee and other committees as required.
  • Assist in the development and administration of tailgate safety talks on a monthly basis.
  • Schedule drivers as necessary for random DOT drug screens
  • Execute general office duties including making copies, sending faxes, filing, passing out snow money, etc.
