About The Position

BAE Systems is looking for an experienced and exceptional Senior Executive Assistant for an exciting opportunity supporting the Air Force's current (Minuteman III) and next-generation (Sentinel) Intercontinental Ballistic Missile (ICBMs). This Executive Assistant will directly support ICBM Senior Leaders at Hill Air Force Base Utah, and report to the BAE Systems Director of ICBM Support. This position will manage up to 8 subordinate office managers who also support the same customer base. This position will also work with a highly skilled team, providing critical support to managers and employees, assisting in daily office needs and managing general administrative activities, including travel coordination, schedule management, data collection, data management, measuring and monitoring performance, planning, updating government systems, and reporting program status internally to program management.

Requirements

  • 12 years of relevant work experience.
  • Prior experience providing executive assistance to USAF leaders.
  • Eligibilty to obtain up to Top Secret or Special Access Programs security clearances as required.
  • Advanced proficiency with the Microsoft Office software suite, Adobe, and other common business applications.
  • Highly positive attitude with a team player mentality, results oriented.
  • Strong initiative, acute attention to detail, and ability to prioritize workloads and multitask effectively.
  • Excellent customer service and interpersonal skills - trusted, reliable, and prompt.
  • Excellent communicator -- able to speak and write clearly and concisely.
  • Fast learner with demonstrated ability to adapt quickly to emerging requirements.

Nice To Haves

  • Prior management experience.
  • Active DoD Top Secret and/or SAP security clearance.
  • Recent Business Operations experience for large organizations.
  • Experience with agile software tools: JIRA, Confluence.
  • Experience with government classified IT systems.
  • Support to USAF ICBM customer base.

Responsibilities

  • Manage subordinate office managers.
  • Substantial and frequent multi-tasking.
  • Develop and coordinate reports, information papers, and organizational briefings.
  • Coordinate and monitor action items, tracking time-sensitive tasks and responses.
  • Prepare and maintain agenda, schedule meetings, maintain calendars, and conference rooms schedules.
  • Assist with development and implementation of program schedules and project plans.
  • Use government travel systems to ensure travel is efficiently schedule.
  • Plan and execute organizational activities for both internal and external agencies.
  • Determine customer requirements and translate these requirements into organization plans.
  • Analyze business and technical processes to develop and implement new policies.
  • Develop process measurement metrics to identify indicators for future improvement.
