About The Position

Easterseals NH is currently hiring for an Office Manager for our Adult Day Program in Manchester, NH. As an Office Manager, you will be responsible for maintaining an office management system to ensure maximum administrative efficiency with the various aspects of the programs. This includes preparing professional materials for meetings, organizing office tasks, managing database reconciliation, assisting with funding processes, and coordinating transportation. You will also address interactions with customers and staff professionally, assist with the admission process, arrange meetings, and manage food/meal programs. The position requires maintaining an organized workspace and preparing purchase orders and invoices.

Requirements

  • Associates Degree in related field, bachelor's degree preferred.
  • A minimum of two (2) years office/management experience, or equivalent combined education and office experience.
  • Three to five (3-5) years of experience with older adult population preferred.
  • Effective written and verbal communication skills.
  • Strong organizational skills and the ability to multi-task and prioritize.
  • Skills in telecommunications, computer applications including word processing, database management, and spreadsheet operations.
  • Valid driver's license and reliable transportation.

Responsibilities

  • Maintain an office management system to ensure maximum administrative efficiency.
  • Prepare professional materials for meetings, presentations, mailings, and other requests.
  • Organize typing, processing, copying, scanning, and mailing required for routine operation.
  • Manage database reconciliation daily/weekly/monthly/quarterly/annually.
  • Assist with funding processes as assigned.
  • Assist with transportation coordination as assigned.
  • Address interactions and reactions of customers and staff in a professional manner.
  • Assist with the admission process.
  • Arrange and participate in meetings, conferences, and team activities.
  • Arrange for maintenance for all office equipment and program malfunctions.
  • Assist in the management of food/meal programs, including ordering and retrieval.
  • Order and maintain supplies as assigned.
  • Maintain organized workspace, storage, and office area.
  • Prepare purchase orders to vendors and staff and assist in coding and processing invoices/contracts.
  • Provide assistance in program with clients as needed.
