Requirements

  • The Experience: You bring 5+ years of experience in office management or administrative support, giving you a deep understanding of how a dynamic workplace operates.
  • The Skills: You have exceptional organizational and time-management skills, allowing you to juggle multiple priorities with ease. Your high attention to detail ensures nothing falls through the cracks, and your excellent communication skills make you a natural collaborator.
  • The Mindset: You possess strong learning agility, picking up new systems and processes quickly. You are tech-savvy, service-oriented, and can work independently with minimal supervision, always exercising sound judgment.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and excellent computer skills.
  • A reliable vehicle, valid driver's license, and the ability to pass a background check.

Responsibilities

  • Master of Logistics: Command the flow of all things mail and shipping. You'll be the trusted point of contact for all incoming and outgoing packages, meticulously sorting physical mail and monitoring electronic correspondence. You'll ensure time-sensitive documents get where they need to go, coordinating shipments for critical meetings and events with precision.
  • Guardian of Supplies: Keep our office stocked and ready for anything. You'll manage the inventory of office supplies and kitchen provisions, anticipating needs before they arise. From placing weekly Costco orders to maintaining organized storage systems, you'll ensure our team never misses a beat, all while partnering with Finance to maintain smart cost controls.
  • IT Partner & Workspace Guru: Be the crucial link between our team and technology. You'll coordinate with IT to set up workstations for new hires, manage the lifecycle of our equipment, and troubleshoot basic tech issues. You ensure every employee has the tools they need to succeed from day one and that our office tech runs smoothly.
  • Culture & Events Champion: Bring our culture to life through memorable experiences. You will help plan and execute the events that make Havenpark special—from birthday brunches and new acquisition lunches to holiday parties and investor visits. You'll handle the logistics that turn a gathering into a great experience, ensuring every event reinforces our collaborative spirit.
  • Facilities Ambassador: Maintain a safe, functional, and beautiful office environment. As the primary liaison with building management and vendors, you'll coordinate everything from routine maintenance to office upgrades. You ensure our physical space is a place we're all proud to work in.
  • Welcoming Face of the Office: Be the first, warm impression for visitors and a helpful resource for employees. You'll greet guests with hospitality, provide light administrative support, and serve as a central point of connection for the entire organization.
