About The Position

We are hiring an Office Coordinator to support daily business operations, ensure smooth office functionality, and help drive operational excellence during a highgrowth phase of our project. In this role, you’ll manage office logistics, assist with HR coordination, provide administrative support across departments, help facilitate safety and compliance activities, and serve as a central point of contact for trucking and recycling deliverables. This is a highly cross-functional position with ample opportunity to expand responsibilities as the project scales and new operational needs emerge.

Responsibilities

  • Coordinate, schedule, and verify copper truck logistics.
  • Track recycling program deliverables, including buildout tasks and scrapcopper trucking workflows.
  • Organize clerical and operational data for internal systems such as Replit.
  • Complete and reconcile employee expense reports.
  • Oversee employee housing transitions, including scheduling, documentation, and move logistics (and Personnel Camp oversight once constructed).
  • Conduct light vehicle fleet inspections and monitor preventive maintenance schedules.
  • Maintain snack inventory and coordinate lunch orders and pickups.
  • Manage guest signins, gate entry, and visitor communication.
  • Greet and direct visitors; oversee digital signin systems and daily entry reviews.
  • Assist with travel and accommodation arrangements.
  • Schedule preemployment physicals; complete I9 verification and EVerify submissions.
  • Conduct newhire orientation.
  • Coordinate onboarding tasks including IT, workstation, and desk setup.
  • Distribute and track uniforms, work shirts, and employee swag.
  • Update and maintain workplace TV display announcements.
  • Assist with holiday party planning: venue bids, comparisons, invitations, RSVP tracking, and logistics.
  • Support swag purchasing, distribution, and gift procurement.
  • Assist with tour groups and event venue planning.
  • Maintain and restock firstaid kits.
  • Coordinate MSHA training schedules and track employee attendance.
